Postal Group is a local SME that has provided mailing solutions to businesses and public sector clients within NI for over 35 years. We operate NI's largest mailing house and collect mail from over 1000 private businesses each day in NI. We hold postal contracts with NI councils and the NI Health and Social Care Trusts. Our fleet of over 20 vans and drivers operates across NI to collect and deliver mail, which is then sorted at our depot in the Titanic Quarter each evening. We also operate a secure mail delivery service and provide bulk mail fulfilment. We employ just over 70 staff and are currently recruiting an Assistant Manager to join our innovative team.

In conjunction with and at the direction of the Operations Manager, you will assist with the management of appropriate resources to organise an efficient operation that delivers a service that meets and exceeds both customer and Company expectations. The Assistant Manager will deputise for the Operations Manager in his/her absence. The successful candidate will be a key point of contact with our drivers and production staff, providing daily monitoring, support and training.

As part of the management team, you will work towards operational excellence, ensuring high levels of customer satisfaction, minimising loss and wastage, and ensuring adherence to health and safety policy and procedures. Specific responsibilities include:

  • Assisting with the efficient and effective route planning and fleet maintenance to ensure collections and deliveries are fulfilled on time and to specification.
  • Assisting with scheduling and management of production in our mailing house.
  • Carrying out daily briefings with drivers, print and production staff ensuring all equipment and materials required are provided and that work requirements are understood.
  • Commitment to ensuring customer service levels are maintained.
  • Reviewing operations throughout the day and resolving any issues as required to ensure work is completed on time and to specification.
  • Liaising with the evening manager to action reported issues from previous days' driver debriefs, ensuring problems are resolved promptly and efficiently.
  • Daily reporting on operational performance to the Operations Manager.
  • Liaising with the Customer Services Team and other staff as required to ensure that customers' requirements are met and that the company maintains their high level of customer satisfaction.
  • Monitoring employee performance including absence management, welfare meetings, performance management and appraisals.
  • Carrying out driver induction training including H&S, manual handling training and periodic product/service training.
  • Working pro-actively as part of the management team to promote and lead by example of best practice with regards to customer service, health and safety, data protection and performance.
  • A commitment to continuous improvement of operational performance within the business.
  • Recording, reviewing and reacting to operational KPIs in conjunction with the Operations Manager.
  • Monitoring processes and procedures to review performance and improvement.

Essential Skills Required

  • High level of competence with MS Office applications.
  • Proficient in the use of both cloud and local based IT Systems.
  • Knowledge of Database systems and Processes.
  • Professional approach with good communication skills.
  • A commitment to training and coaching staff to perform at their best.
  • Able to motivate staff and manage performance improvement.
  • Able to assist with writing standard operating procedures and risk assessments.
  • A commitment to H&S and Data protection and acting as a role model in best practice/compliance.

Desirable

  • At least 2 years experience in logistics/despatch management, or 2 years minimum experience in a customer service or production within a relevant business/industry.
  • Able to demonstrate competence in excel formulas and relational database interrogation.
  • Familiar with online route scheduling software.
  • Experience in performance reviews, staff training and motivating staff.
  • Experience of HR and Personnel management.
  • Experience of the print, logistics, mail production, or postal industry.

Working Hours: 37.5 hrs per week Monday to Friday
