Location: Positive Futures, 2B Park Drive, Bangor – Option to discuss base location. Part time, 30 hours per week, Monday to Friday, 9am–3pm.

As part of our strategic expansion, this newly created role will be central to driving growth and ensuring compliance across all service areas. You will collaborate closely with the Operations team and the Head of Housing to deliver consistent, high-quality outcomes for the people we support.

This role provides professional administrative and coordination support across compliance, contracts, housing and property activity. It supports the Compliance Manager and Head of Housing by maintaining accurate records, coordinating key processes, and ensuring information, documentation and follow-up actions are managed effectively.

Key Roles this postholder will undertake
  • Contracts and Compliance Administrator
    • Manage day to day communications with NI HSCTs and the HSE, responding to queries and linking with other departments.
    • Provide administrative support for NI HSCT and HSE contracts, including preparing paperwork before and after review meetings.
    • Maintain central records on the status of all organisational, goods and services contracts.
    • Support organisational compliance tasks, including preparing master documents and regulatory materials.
  • Information and Data Management Support Lead
    • Maintain central databases and key operational information.
    • Support information management tasks including retention and archiving.
    • Work with other staff to follow up actions arising from audits, reviews and compliance checks.
    • Produce accurate and well presented documents, reports and correspondence.
  • Housing, Tenancy and Property Administration Lead
    • Liaise with solicitors, estate agents and housing partners to progress tenancy, property and acquisition matters.
    • Draft and issue housing related documents and statutory or organisational returns for senior staff.
    • Manage tenancy administration, including agreements, notices and onboarding documentation.
    • Support the Head of Housing with tenancy monitoring, move ins and move outs.
    • Assist Operations with housing related tasks where needed.
  • Meetings, Coordination and Administrative Support Lead
    • Prepare meeting papers and coordinate follow up actions.
    • Develop and maintain effective administrative systems and filing processes.
    • Compose documents and reports using your own initiative.
    • Support teams with tasks such as H&S coordination and easy read documentation.
  • Stakeholder, Partner and Housing Relationship Support
    • Communicate professionally with external housing stakeholders, providing accurate information.
    • Attend stakeholder events online or in person.
    • Work closely with the Compliance Manager, Head of Housing and operational teams.
    • Respond promptly and professionally to enquiries.
Skills and Company Information
  • Required Criteria
    • Minimum of 2 years’ administrative experience supporting managers or senior staff in a busy office environment.
    • Experience maintaining records, databases, tracking systems and producing accurate documentation.
    • Experience drafting letters, reports, briefing papers, or other organisational documents.
    • Experience managing external communications with stakeholders such as statutory bodies, partner agencies or professional services.
    • Full, valid UK driving licence or an ability to travel independently to meet the requirements of the post.
  • Desired Criteria
    • Experience providing administrative support linked to tenancy management, housing processes, property administration or similar functions.
    • Experience liaising with solicitors, estate agents, housing partners or statutory/housing bodies.
    • Experience in processing tenancy agreements or maintaining tenancy records.
