We are looking for a friendly, capable Administrative Assistant who will support pupils, families and staff in our busy school office. This job is varied and you will need good time management skills, as you will be required to multi-task to ensure jobs are completed efficiently and on time. You will need a good sense of humour, to be a team player and to have an ability to cope under pressure whilst working with lots of people who all need your time. Confidentiality is paramount.
Your role will involve using the school's management information software to complete administrative requirements within the expectations of Portsmouth City Council and the Department for Education.
Duties will include:
- Providing a friendly reception for all visitors and members of our school community
- Answering general enquiries on the phone, in person and by email
- Using IT to support the office needs, including attendance in Arbor, and Tucasi
- Support and deputise for our Attendance officer as and when required
- General administrative duties as directed by the Office manager and the Headteacher
The successful applicant will:
- Have strength in their communication and interpersonal skills to be able to interact with a wide range of people both in person, on the telephone and by email
- Have excellent literacy and numeracy skills in order to complete all the office tasks with Maths and English GCSE Grade C or above (or equivalent)
- Be confident in using technology in the workplace, willing and able to learn how to use a variety of IT packages
- Be child centred and deal effectively with any first aid needs (training provided)
- Be confidential, positive and professional
- Be honest, reliable, well organised and a good timekeeper
- Be flexible and able to work under pressure
- Be happy to support the school's Catholic ethos and have a commitment to the school's mission statement
- Value the importance of forming positive relationships with children, other staff, professionals and parents
