Do you have a keen eye for detail? Join our team as a Dispatcher and help us plan, deliver and thrive! Requiring exceptional organisational and logistical skills, as well as the ability to prioritise effectively, you will be responsible for reviewing and dispatching tasks for the field-based Guest Relations Team according to agreed timeframes. You will also be responsible for making sure that sufficient resourcing is in place to meet our guests on arrival and carry out any special requests, ensuring that we always provide our guests with exceptional service.

Responsibilities:

  • Planning at least one day in advance, by allocating work/tasks to available field team efficiently, avoiding clashes in appointment times and ensuring each schedule is fully achievable.
  • Consistently reviewing all tasks/workload and provided information and rescheduling/re-planning effectively throughout the working day as and when required, due to emergencies or time changes.
  • Maintaining consistent communication with all field team members at regular intervals throughout the day.
  • Providing accurate updates of the progress of each team member to relevant departments and making sure all information is uploaded onto the CRM system accurately.
  • Day to day coordination of all daily arrivals and special requests, making sure efficient cover is supplied to meet and greet all arriving guests on time and that all of our arrival processes are followed.
  • Ensuring that all visits from external contractors are managed appropriately, uploading them to the CRM system and ensuring that a member of the team is available to meet them at the required location.
  • Coordinating daily key movements, making sure all keys are allocated to the relevant people, and that keys that have not been returned are followed up swiftly and following our processes.
  • Preparing handover for the teams working late shifts or night shifts, including the on-call folder, providing a briefing and de-briefing with persons responsible for late or night cover.
  • Arranging daily handovers between shifts, ensuring all information relevant to the day is included and communicated effectively to avoid any disruption to service.
  • Preparing and coordinating daily/weekly task reports.
