Overview

Long Marston Rail Innovation Centre is a Porterbrook site in Warwickshire where we are investing in the future of rail. We are looking for an exceptional Business Support Manager to join the team at the 135-acre site to help it operate effectively.

Role purpose

The Business Support Manager will provide high quality, proficient and comprehensive support to the management team, enabling the Long Marston site to operate effectively. Responsibilities include coordinating management team schedules and meetings, preparing documents and reports, and acting as a key point of contact for internal and external visitors and site events. The role also involves overseeing financial processes, ensuring accurate invoicing and maintaining records, and coordinating onboarding of new staff.

Responsibilities

  • Provide administrative oversight for the Long Marston management team: team schedules, meeting arrangements, facilities booking and event management
  • Facilitate meetings (agendas, minutes, deadlines tracking, reminders to meet target dates)
  • Prepare documents, reports and presentations for the site management team
  • Provide administrative support to the General Managers including diary management, emails, drafting responses and important communications
  • Support VIP and other meetings by liaising with the site management team and ensuring requirements are understood
  • Act as first point of contact for on-site events; escalate issues or decisions as needed
  • Maintain corporate presentation standards for Long Marston
  • Manage site financial processes with Finance support; ensure customers are invoiced correctly and adhere to contract terms and rate cards
  • Manage payments and maintain an expenditure tracker to monitor spend vs budget
  • Raise and receipt requisitions in line with Porterbrook processes
  • Coordinate payroll inputs for Long Marston staff
  • Coordinate onboarding of new starters (induction, site/building access, workspace setup, workwear)
  • Manage PPE, stationery and consumables for the site to ensure adequate stock

What you’ll need to have

  • Educated to A-Level or equivalent
  • Extensive experience in a Business Support Manager or similar role
  • Experience handling financial and confidential information
  • Proven ability to communicate effectively with stakeholders at all levels

  • Strong coordination and multi-tasking skills
  • Excellent organisational skills
  • Outstanding interpersonal and communication skills
  • Ability to work well in a team and on own initiative
