Weβre looking for a driven, experienced Procurement Administrator to join our successful team based at our Portakabin Headquarters in York (you can choose to work from 1-2 days per week).
As a Procurement Administrator, you will support and guide the wider business as part of the Procurement Help Desk, covering areas such as procurement knowledge, training, and advice in line with procurement best practices.
Your responsibilities include general administration for the Central Procurement team, supplier onboarding checks, and new part number validation and costing.
Role Responsibilities
- Processing Requisitions: Manage and process requisitions, ensuring goods and services are received within required timescales.
- Resolving Invoice Queries: Address and resolve discrepancies or issues related to invoices, including relevant reporting.
- Request for Pricing on Products: Obtain pricing information, lead times, and MOQs for new and current products, in line with specifications and with approved/preferred suppliers.
- Running Reports for Spend Analysis for Category Managers: Generate detailed spend analysis reports to assist in budget management and strategic planning.
- Validating Documents Submitted for New Suppliers: Review and validate documents submitted by potential new suppliers to ensure compliance with company standards and vendor onboarding processes.
- Develop a collaborative working culture across business units and head office functions to promote knowledge sharing and best practices.
- Weekly invoice reporting according to schedule.
- Provide cover for the Central Procurement Officer during leave or sickness.
- Adhere to all purchasing processes and procurement best practices.
- Ensure new materials are priced within SLA timescales.
- Manage and control the Supplier Engagement system, including accurate maintenance of SAP vendor data.
- Support the development and maintenance of the Procurement Knowledge Bank.
- Attend required audits, maintaining awareness of policies and processes to provide necessary evidence.
Essential Criteria for this Role
- Excellent time management, highly organized with strong analytical and prioritization skills.
