Porta Romana is a privately owned English company, based in Farnham, Surrey whose brand is synonymous with luxury lighting and furniture products and it supplies many of the most prestigious hotel, yacht and residential projects around the world. We have an exciting opportunity to join our Logistics Department on a 4 month fixed term contract (covering a sabbatical) with responsibility for the administration of key information systems. This role will suit you if you are methodical in nature with excellent attention to detail. You will also understand the importance of and deliver the highest levels of service to internal departments.
RESPONSIBILITIES
- Undertake advance planning of all aspects of deliveries
- Liaise directly with carriers to book deliveries/collections and book and load export orders on a daily basis
- Daily contact with Despatch and Premium teams to ensure correct loading of goods and storage locations
- Create daily manifest for internal driving team to include route planning
- Support other departments in scheduling collections/deliveries where required
- Assist Sales team with all aspects of deliveries to ensure orders are despatched correctly to meet customer’s expectations
- Raise export documentation accurately
- Work with Accounts to update any outstanding proof of export requirements
- Analyse and report on service levels and costings for all shipping partners
- Monthly reporting on team performance and Customer Experience
- Create and maintain processes and procedures
- Work with Product and Operational departments to establish problems and action required
- Ensure customer feedback is communicated at all levels
- Key contributor to Knowledge Base (Internal procedure log) and Salesforce initiatives
- Build on existing relationships with departments within the business to ensure the Customer Experience meets and exceeds expectations at all times
- Development of the team to provide effective support and back up for the business requirements
- Manage weekly van report and maintain brand standards for the vans and drivers and ensure daily van checks are recorded
- Communicate effectively with the Operations Manager when a driver can be used in Production
- Perform any other duties that may reasonably be required by the Manager
SKILLS AND EXPERIENCE
- Understanding and experience of shipping processes and procedures.
- Superb communication skills with colleagues at all levels
- Proactive ‘can-do’ attitude
- Exceptional attention to detail
- Ability to work under own initiative & multitask
- Experience of Salesforce and Syspro preferable but not essential
