Role Responsibilities
- Coordinate and administer the day-to-day activities of the Marine Services department, ensuring accurate records and effective operational support.
- Manage the Pilotage Exemption Certificate process, including applications, assessments, certification records and renewals.
- Administer the Foyboatmen licensing system and maintain associated compliance documentation.
- Support the implementation and ongoing administration of the Marine Safety Management System.
- Coordinate departmental training, emergency exercises, audits and compliance activities, ensuring all records remain current and audit ready.
- Maintain staff training, certification and medical records in line with statutory and company requirements.
- Manage departmental procurement, invoicing and financial administration through the ERP system (Oracle).
- Produce departmental reports, statistics and KPI data for management review.
- Prepare correspondence, meeting documentation, agendas and minutes, ensuring actions are tracked and completed.
- Maintain departmental calendars and coordinate meetings, inspections and operational activities.
- Support marine-related projects and stakeholder engagement activities.
- Liaise with internal departments, external agencies and port users in a professional and efficient manner.
- Ensure confidential information and operational records are handled accurately and securely.
- Develop a working knowledge of Port Marine Safety Code requirements and marine operational procedures.
Essential Experience
- Previous experience in an administrative, coordinator or operational support role.
- Strong organisational skills with the ability to manage multiple priorities and deadlines effectively.
- Experience maintaining accurate records, databases and compliance documentation.
- Excellent written and verbal communication skills, including experience preparing reports, correspondence and meeting minutes.
- Experience using ERP, database or business management systems.
- Ability to work accurately with a high level of attention to detail.
- Ability to work independently and as part of a team within a fast-paced operational environment.
- Experience supporting audits, compliance processes or safety management systems would be advantageous.
- Knowledge or experience of marine, shipping, logistics, transport or operational environments would be desirable.
- Knowledge and experience in using Office 365 including Word, Excel, PowerPoint and Microsoft Teams.
