As a Group Sales Administrator you will be the administrative backbone of our seven-site Sales operation, delivering precise vehicle paperwork, compliant processes and seamless support that keeps every dealership running efficiently.
Responsibilities:
- Register and tax all vehicles accurately in line with DVLA and internal processes.
- Maintain accurate vehicle order records and upload revised documentation to digital deal files.
- Complete all sales and purchase paperwork in line with Group Sales Process and control standards.
- Prepare and maintain digital/physical deal files to full audit standard.
- Invoice vehicles accurately and on time.
- Produce required statistical and departmental reports for management and manufacturers.
- Work closely with Sales teams across all sites to ensure smooth, compliant transactions.
- Maintain orderly, accurate and secure administrative records.
- Liaise with auditors and support periodic deal file audits.
- Ensure compliance with CDD, AML, internal policies and data protection standards.
- Process invoices, payments, purchase documentation and finance settlements within authority levels.
- Assist with stock reconciliation, stock checks and month-end financial processes.
Requirements:
Minimum Qualifications:
- Proven admin experience in a structured, process-driven environment with exceptional accuracy and attention to detail.
- Strong Microsoft Office skills, particularly Excel for reporting, reconciliation and data handling, plus experience using a Dealer Management System (DMS).
- Experience processing vehicle registrations and taxation through DVLA systems such as AFRL or equivalent.
- Confident with numerical tasks including invoice and payment processing, maintaining accurate and auditable financial records.
- Excellent communication skills, able to collaborate across multiple sites and manage workload effectively in a fast-paced, process-driven environment.
Desirable Qualifications:
- Previous experience within a franchised automotive retailer or similar transactional environment.
- Experience working in an FCA-regulated or compliance-driven environment, including supporting internal or external audits.
- Familiarity with manufacturer standards, audit frameworks and multi-site or centralised support operations.
- Basic understanding of accounting or month-end processes, plus advanced Excel skills such as pivot tables and reconciliation reporting.

- 40 hours per week - Monday to Friday, rotating between 8:30 - 17:30 and 9:00 till 18:00
