The Project Information Manager (PIM) is responsible for the effective management, coordination, and strategic oversight of project information across a defined cluster of projects within the practice. Overseeing a small team of Document Controllers (DCs), the role ensures that information management processes are consistently applied, fit for purpose, and aligned with both client requirements and internal standards.

Key Responsibilities

  • Project & Information Management
    • Provide strategic oversight of project information management across a cluster of projects.
    • Lead on resolving complex or escalated information management issues at project and cluster level.
    • Negotiate, define, and implement project-specific information management processes and procedures in line with client requirements and best practice.
    • Ensure consistent application of document control and information management standards across all projects within the cluster.
    • Support project teams by proactively identifying risks, gaps, or inefficiencies in information workflows and implementing solutions.
  • Client & Stakeholder Engagement
    • Act as a key point of contact for clients on information management matters within the project cluster.
    • Communicate confidently and professionally with internal and external stakeholders, including project teams, consultants, and clients.
    • Provide clear guidance, clarification, and recommendations on information management requirements and deliverables.
  • Team Leadership & Resource Management
    • Day‑to‑day management of a small team of Document Controllers working collaboratively across the project cluster.
    • Manage resourcing, workload distribution, and holiday requests within the cluster to ensure adequate project coverage at all times.
    • Identify training, development, and support needs within the team and work with the PIM/DC Lead to address them.
    • Provide regular performance feedback to the PIM/DC Lead, highlighting achievements, risks, and development areas.
  • Escalation & Governance
    • Escalate project or resource issues to the PIM/DC Lead when additional support, clarity, or decision‑making is required.
    • Provide feedback and contribute to the continuous improvement of information management processes, standards, and guidance across the practice.
  • Hands‑On Document Control
    • Continue to undertake document control tasks as required, focusing on strategic oversight, problem solving, and implementation at project level.
    • Support complex deliverables and key project milestones where senior input is required.
