The Role and Candidate

The Regional Admin Manager – Europe will oversee and streamline administrative operations across POP MART’s European offices. This role ensures day-to-day operations run smoothly, regulatory compliance is maintained, and internal standards are consistently applied across different countries.

The successful candidate will bring strong organisational and stakeholder management skills, with the ability to balance strategic oversight and hands-on execution across multiple markets.

Responsibilities

  • Manage office operations and facility services across European offices, ensuring consistency and efficiency.
  • Oversee vendor management for supplies, maintenance, cleaning, and equipment procurement
  • Lead office lease management, relocations, renovations, and seating plans in coordination with local teams
  • Ensure compliance with European health and safety regulations and workplace standards
  • Develop and maintain standardised administrative systems across countries, while adapting to local requirements
  • Support cross-border travel, internal events, and meeting logistics
  • Consolidate and monitor regional administrative budgets, ensuring effective cost management
  • Track and manage office assets, maintaining accurate inventory records across markets
  • Coordinate audits and oversee asset transfer or disposal in line with group policy
  • Supervise and support local admin staff or external service providers
  • Act as the point of contact for admin-related onboarding and offboarding activities
  • Support cross-functional teams with documentation, courier services, and visa or work permit coordination
  • Identify opportunities to improve efficiency and implement process enhancements
  • Contribute to the development of admin SOPs, approval workflows, and documentation standards

Required Qualifications

  • Bachelor’s degree in Business Administration, Management, or a related field
  • 5–7 years of experience in office administration, with at least 2 years in a regional or multi-country role
  • Strong understanding of European operational practices and compliance requirements
  • Excellent communication and stakeholder management skills, with experience working across functions and countries
  • Fluent in English; proficiency in another European language is an advantage. Mandarin is considered a plus for HQ coordination
  • Willingness to travel occasionally within Europe
  • Highly organised, detail-oriented, and capable of managing multiple priorities
  • Self-starter with strong ownership and follow-through
  • Comfortable working in multicultural and diverse teams

Desirable but Not Essential

  • Experience in the retail sector or pop culture industry
  • Familiarity with office management practices in POP MART’s European countries (UK, France, Italy, Germany, Netherlands, Spain)
  • Experience in managing regional budgets and vendor relationships across multiple countries
