Reconciliation Analyst in Poole

Poole Full-Time On-site
Poole Bay Holdings Management
Location: Poole, Dorset (onsite)
Hours: 37.5 per week
Working pattern: Monday - Friday 9:00 until 17:00

Main Purpose
We are looking for an energetic and curious Reconciliation and Process Analyst to join our Finance team. You will own a varied programme of daily, weekly and monthly balance sheet reconciliations across our manufacturing and ecommerce businesses. The work offers broad exposure to the finance function and the wider business. When figures do not agree, you will investigate what happened and work with colleagues to correct errors at source so they do not recur. You will document how processes work, spot repetitive tasks that could be automated and help make our ways of working more reliable and efficient.

Duties and Responsibilities

Day to day responsibilities
  • Complete daily, weekly and monthly balance sheet and control account reconciliations across multiple entities, working accurately through a high volume of data.
  • Reconcile a varied range of accounts, including bank, credit card, PayPal, Amazon and stock related balances as required.
  • Investigate differences by tracing transactions through systems and source records, keeping clear evidence of findings and outstanding items.
  • Work with colleagues in Finance and other departments to correct errors at source and confirm that the underlying issue has been resolved.
  • Spot patterns in recurring differences, understand their causes and suggest changes that prevent the same errors happening again.
  • Document how reconciliations are performed, including the information used, key checks and steps for resolving differences.
  • Assist in mapping and documenting the business processes and system handoffs that feed transactions into control accounts, working with colleagues to find where errors arise and where improvements or automation could prevent them.
  • Maintain accurate reconciliation schedules and follow up outstanding items promptly, escalating significant or persistent issues to the Finance Manager.
  • Support the month end close and take part in related finance work, building an understanding of the different businesses and how their transactions flow through the accounts.
Communication & Stakeholder Management
  • Build effective working relationships across Finance, manufacturing, ecommerce and other teams to gather information and resolve issues.
  • Explain reconciliation findings, outstanding items and proposed fixes clearly to the Finance Manager and the colleagues involved.
Process Documentation and Automation
  • Document and maintain clear procedures for each reconciliation, including its data sources, timing, key checks and steps for resolving differences.
  • Identify repetitive manual tasks and process gaps that could be simplified or automated and propose practical improvements.
  • Help test agreed process changes, check the accuracy of their outputs and update the documentation to reflect the new way of working.
