What you’ll do:
- Manage the end-to-end Material Approval Process for campaigns and assets through review, production, and final distribution within Veeva Vault.
- Prepare and upload multiple documents to Veeva weekly, with correct tagging and linking for Medical, Legal, and Regulatory review — ensuring compliance with regulatory and company policies.
- Ensure assets are routed and tracked per the client’s workflow, adapting as that process evolves.
- Attend weekly live PRC (Promotional Review Committee) meetings and capture consensus comments from the review team in real time.
- QC assets at every stage — catching copy errors, non-compliant content, and incomplete amends before they reach the client or PRC reviewers.
- Ensure all PRC-requested changes are actioned correctly and nothing gets missed.
- Proactively suggest more streamlined ways of working with Veeva to the wider agency team, many of whom are not Veeva experts, and run training sessions where applicable.
What we need:
- Proven experience and hands-on knowledge of Veeva Vault.
- Familiarity with FDA-regulated pharma products and marketing workflows.
- Strong attention to detail and ability to manage multiple submissions simultaneously.
- Previous experience in ensuring quality control within written or designed assets.
- Comfortable working independently within a small, agile team.
- Excellent communication and coordination skills, with a strong grasp of American English.
Nice to have:
- Experience working with a creative or design agency serving pharma clients.
- Background in dental or life sciences marketing.
- Able to adapt to use of new technologies, such as Figma, Teamwork, Notion.
Contract:
This is a freelance or part-time, fixed term contract. We’re looking for someone who can integrate quickly and support us on an ongoing basis, ideally for 2-3 days, including Tues and Weds, each week. Our weekly submission deadline for Veeva is a Monday, while our PRC team meetings are held on Wednesdays. Flexible hours will be considered — what matters most is responsiveness and reliability.
