Location: Cheltenham (occasional travel to London offices required)

Working pattern: Hybrid F/T (minimum 3 days per week in office)

We are looking for a highly organised, proactive and confident Executive Assistant to support several senior leaders across PoloWorks, including the Director of Risk & Governance and Director of Compliance. Whether you’re an experienced EA looking for your next challenge, or you’re earlier in your career and ready to step up, this is a fantastic opportunity to work at the heart of our leadership team and make a real impact. You will play a key role in keeping our senior leaders operating smoothly day‑to‑day, acting as a trusted partner, problem‑solver and coordinator across a wide range of activities. No two days will look the same, and you will have the chance to build strong relationships across the business while developing your skills in a supportive, collaborative environment.

Key Responsibilities

  • Proactive diary and inbox management for multiple senior leaders
  • Preparing agendas, attending meetings, taking minutes and tracking actions
  • Coordinating meetings, room bookings, catering and logistics
  • Ensuring calendar alignment and supporting timely submission of board reports
  • Organising travel, accommodation, visas and itineraries
  • Managing expenses and supporting event planning
  • Coordinating conferences and off‑site meetings
  • Acting as a key point of contact for internal and external enquiries
  • Maintaining organised online filing systems and supporting document management
  • Learning and developing expertise in our internal systems
  • Providing ad hoc administrative support as needed
  • Supporting lunchtime Reception cover and providing cover for other EAs when required
  • Keeping up to date with mandatory e‑learning and compliance requirements

Skills, Knowledge and Expertise

Previous experience in a similar role is essential, but we are open to candidates who have gained this experience in different environments or industries.
