Polaris Children’s Services is part of the Polaris Community of companies, delivering statutory and non-statutory social care services in the UK and to military communities overseas.
We have provided social work services to the Ministry of Defence in Germany and expanded our overseas work with the British military and civilian personnel across Europe, Canada, Kenya, Belize, the USA, and Saudi Arabia.
From 1st July, we expanded our services to include the British Forces Social Work Service in Cyprus and the South Atlantic Islands.
Under Polaris Children’s Services management, we developed our BFSWS brand with specific identities for each service within our military social work community.
We are seeking a Business Support Administrator to support personnel in Dhekelia and RAF Akrotiri, including the Senior Social Worker, Personal Family Support Worker, and Child Care Co-Ordinator. The BSA will be the initial contact for service enquiries.
Role Responsibilities
- Serve as the first point of contact, providing administrative support and reception cover, handling emails and calls, recording messages, and responding to enquiries.
- Administer Child Protection, Child in Need, and other professional meetings, including diary coordination, room booking, refreshments, minute-taking, and related arrangements.
- Accurately input new referrals into the client system, CHARMs, updating details as needed.
- Coordinate and process DBS, child-minding, and vetting applications promptly and accurately.
- Compile statistics and analyses to generate monthly, quarterly, and annual KPI reports for the team.
- Ensure all literature and publicity materials have correct branding.
- Coordinate with HQ Episkopi for booking accommodation, travel, and security for staff and visitors.
- Maintain awareness of safeguarding responsibilities, completing mandatory training as required.
- Assist in maintaining office equipment and furniture in Cyprus offices.
- Provide cover at other BFSWS units in Cyprus as needed.
- Comply with all Military Standing Orders.
- Perform additional tasks as required, commensurate with the role.
The ideal candidate will have GCSE Grade C or equivalent in English and Maths, proven administrative experience, excellent IT skills (Microsoft Office), good interpersonal and communication skills, and the ability to work independently and as part of a team. Organisation skills, confidentiality, and understanding of GDPR are essential.
