About the Role Pod-Trak is looking for a Bid Coordinator to join our busy bid department, based in Uxbridge, West London.
Working closely with the Bid Manager and the Pre-Construction team, the position will be key to providing a professional and efficient service in support of PQQs, supply chain enquiries, supplier pre-qualifications, bids, and tenders.
The primary responsibility will be to coordinate the quality element of bids, working in partnership with the Bid Manager. They will also be expected to liaise with the Estimators, Planners, and Pre-Construction Lead, coordinating enquiries as necessary.
Key Responsibilities Draft first-pass responses for selected quality questions, company information sections, and standard bid narratives.
Develop and maintain a library of reusable bid content, including company overviews, case studies, CVs, project experience, accreditations, and standard responses.
Support the preparation of social value responses, plans, and evidence for bids and frameworks.
Assist in identifying relevant social value commitments that are proportionate, deliverable, and aligned to client requirements.
Maintain up-to-date company information required for PQQs, supplier portals, and framework submissions.
Support the upkeep of records relating to insurances, accreditations, policies, procedures, licences, certificates, and statutory information.
Support the maintenance of bid trackers, opportunity pipelines, and tender reporting information.
Assist with monthly reporting by preparing statistics, submission updates, bid status summaries, and supporting narrative.
Act as a reliable coordination point between contributors, reviewers, and approvers during live bids.
Requirements The successful Bid Coordinator would preferably have:
Educated to degree level or equivalent.
Experience working within the Civil Engineering, Rail, Infrastructure, Energy, or Water sectors is advantageous.
Experience within a bid environment, working on tender submissions, PQQs, and EOIs.
An interest in STEM and/or knowledge of the sectors Pod-Trak operates in.
Excellent communication skills, both written and verbal.
Experience in bid writing, or a desire to include bid writing within their role, is advantageous.
Ability to build and maintain strong, lasting relationships with clients and stakeholders, and understand their needs.
Working knowledge of Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.
Experience with SharePoint, Teams, InDesign, Power BI, or bid portals would be advantageous.
