This role is based in our London office at Aviation House WeWork, Holborn, with the option to work from home a maximum of three days per week. £32,000–£35,000: The final salary will be determined based on the applicant’s level of experience.

Role Overview

Our online courses are a key part of how we support GCSE and A Level students throughout the academic year. As Courses Assistant, you’ll work closely with our Head of Courses to support the smooth running and ongoing development of our courses. You’ll be involved in the setup and delivery of courses from start to finish – including recruiting tutors, organising course materials, updating course information, communicating with students and parents, and troubleshooting any issues as they arise. This is a highly administrative and detail‑oriented role. A significant part of your work will involve day‑to‑day course administration, checking information carefully, and ensuring that tasks are completed accurately and on time. You’ll also assist in shaping the future of our courses – whether that’s improving course delivery, supporting the introduction of new subjects or exam boards, or helping us scale up. This role would suit someone who enjoys structured administrative work, is highly organised, and takes pride in accuracy and attention to detail. It also offers the opportunity to develop broader experience in course operations and coordination within a growing education company, with scope to take on increasing responsibility over time.

Course Administration & Delivery

  • Prepare contracts, course registers, invoices, and other course documentation
  • Keep website listings, brochures, and course information accurate and up to date
  • Set up Google Classrooms, tutor accounts, and other course systems
  • Coordinate the printing and delivery of handouts via external suppliers
  • Send joining instructions and other course‑related information to students
  • Respond to course‑related queries from students and parents, and tutors
  • Monitor registrations, course capacity, and enrolment issues
  • Support the smooth day‑to‑day running of courses during live delivery periods

Tutor & Operational Support

  • Communicate with tutors before and during courses to share key information and resolve issues
  • Help ensure courses are fully staffed and organised
  • Assist with onboarding new tutors where needed
  • Help collect and organise feedback from students and tutors
  • Support updates to course materials, internal documentation, and operational processes
  • Maintain spreadsheets, records, and other administrative systems
  • Support the wider team with ad‑hoc operational tasks when needed

Our courses take place at key points throughout the academic year, including during the Christmas and Easter holidays, during the May exam period, and over a two‑week period in August. Some courses also run over weekends. As a result, the successful candidate will need to be available to support course delivery during these periods when required. This may occasionally involve working evenings or weekends outside standard office hours. Time off in lieu will be provided.

Requirements

  • Excellent organisational skills and strong attention to detail
  • Ability to manage multiple tasks simultaneously and carry out repetitive, process‑driven tasks with accuracy
  • Previous experience in an administrative or operational support role is desirable
  • Clear and professional written communication skills
  • A proactive, reliable approach to work and adaptable enough to learn new software and tools
  • Ability to work both independently and as part of a small team
  • Comprehensive knowledge of the UK education system, particularly GCSEs and A Levels
  • Must be based in or able to commute to London regularly
