An exciting opportunity has arisen for a Service Coordinator to join a busy Service Team based in Banbury. This role is ideal for an organised and customer-focused individual who enjoys coordinating activities, managing schedules, and working closely with both customers and internal teams.

Reporting to the Service Manager, you will play a key role in supporting the day-to-day operations of the Service Department. The successful candidate will be responsible for:

  • Coordinating service visits, supporting engineers, processing quotations and orders, and ensuring customers receive a high level of service throughout their journey.

Duties & Responsibilities

  • Process quotations, purchase orders, and order entries accurately and efficiently.
  • Coordinate and organise Service Engineer schedules to meet customer requirements and operational priorities.
  • Allocate engineers based on location, availability, and skill set requirements.
  • Arrange travel and accommodation for UK and international service visits, including flights, hotels, parking, vehicle hire, and transfers.
  • Maintain accurate service records and filing systems, ensuring documentation is organised and up to date.
  • Support the preparation and issuance of quotations for service visits, training sessions, and service contracts.
  • Ensure service documentation and engineer paperwork are submitted promptly and accurately.
  • Handle customer enquiries professionally via telephone and email, escalating issues where necessary.
  • Work collaboratively with colleagues across departments to ensure timely responses to customer requests.
  • Identify opportunities to improve processes and enhance customer service delivery.
  • Build and maintain positive working relationships with customers and internal stakeholders.

Education & Skills Required

  • Previous experience within a customer service, service coordination, or administrative role.
  • Experience within a manufacturing, engineering, or service-based environment would be advantageous.
  • Excellent communication and interpersonal skills.
  • Strong organisational skills with the ability to manage multiple priorities.
  • Good attention to detail and accuracy.
  • Proficiency in Microsoft Office, including Word, Excel, and Outlook.
  • Experience using CRM systems.
  • Knowledge of Sage, SAP, or similar ERP/accounting software would be beneficial.
  • A proactive and professional approach to problem-solving and customer support.
