An exciting opportunity has arisen for a highly organised and detail‑focused Committee Administrator on a temp‑to‑perm basis to join a leading organisation within a membership and governance‑focused sector. This role is responsible for providing comprehensive administrative and secretarial support to a range of committees and councils, ensuring meetings are planned, coordinated, and delivered effectively. The successful candidate will play a key role in maintaining accurate records, producing high‑quality meeting documentation, supporting stakeholders and volunteers, and helping to ensure robust governance processes are maintained. This position is primarily office‑based in Bicester, with flexibility to work from home one day per week.
Duties & Responsibilities:
- Provide comprehensive administrative and secretarial support to committee and council meetings.
- Prepare, collate, distribute, and maintain meeting agendas, papers, minutes, and supporting documentation.
- Attend committee meetings and produce clear, accurate, and professional minutes.
- Maintain committee records, documentation, action logs, and forward‑planning schedules.
- Act as a key point of contact for committee members and stakeholders, including volunteers.
- Coordinate travel arrangements, expenses, and related administrative activities while supporting budget management.
- Support the annual appointment and administration processes for committee membership.
- Review and improve administrative processes to enhance efficiency while maintaining strong governance standards.
Education & Skills Required:
- Previous experience in minute‑taking and administrative or business support roles, ideally within a governance, compliance, professional membership, education, or similar environment.
- Experience supporting committees, coordinating meetings, and handling confidential information.
- Excellent organisational skills with strong attention to detail and the ability to manage multiple priorities and deadlines.
- Strong written and verbal communication skills, including the ability to produce accurate meeting minutes and engage effectively with a wide range of stakeholders.
- Advanced proficiency in Microsoft Office applications and familiarity with collaboration and document management tools such as SharePoint, OneDrive, Google Drive, Dropbox, and Adobe products.
- Previous experience within sport or motorsport would be advantageous but is not essential.
