An excellent opportunity has arisen for a Reception Administrator to join a busy and professional legal services team in Banbury. This customer-facing role is ideal for an organised and approachable individual who enjoys providing exceptional service to clients and supporting colleagues with a variety of administrative tasks. As the first point of contact for visitors and callers, you will play a key role in creating a positive client experience while ensuring the smooth day-to-day operation of reception and administrative processes.
Duties & Responsibilities
- Welcome visitors to the office, providing a professional and friendly first point of contact.
- Answer and direct telephone calls efficiently, taking and relaying messages where required.
- Log visitor arrivals and notify colleagues of client appointments.
- Manage incoming deliveries and ensure prompt distribution to the appropriate teams.
- Verify and scan Anti-Money Laundering (AML) documentation in accordance with procedures.
- Scan, sort, distribute, and prepare post, while supporting file closure and archiving activities.
- Process and direct online enquiries, maintaining accurate enquiry records.
- Provide administrative support including document preparation, dictation typing, photocopying, scanning, diary management, and meeting room bookings.
Education & Skills Required
- Previous experience in a customer-facing reception or administrative role.
- Strong telephone and communication skills with a professional and confident manner.
- Good IT skills, including Microsoft Outlook and Word; experience with Excel is advantageous.
- Excellent organisational and time-management abilities.
- Friendly, approachable, and empathetic approach to client service.
- Ability to work collaboratively, maintain confidentiality, and adapt to changing business needs.
Additional Information
- Monday – Friday, 9am-1pm or 1pm-5pm (20 hours a week)
- Office-based
- 23 days annual leave (increasing to 27 days with length of service) (pro-rata).
- Office Closure between Christmas and New Year (1 day’s holiday must be allocated).
