About the Role
We are seeking a highly organised and proactive Project and Procurement Support to join our Plug Me In – Solar team. This role is instrumental in supporting our project management and procurement functions, ensuring the smooth delivery of solar projects through meticulous documentation, effective coordination, and robust supplier management.
Key Responsibilities
Project Coordination
- Maintain accurate project documentation, including project plans, RAMS, cost sheets, CRM entries, and site reports.
- Support project reporting, including revenue recognition, accruals, and budget tracking.
- Liaise with customers to arrange surveys, provide updates, and manage post-handover communications.
- Coordinate with engineers and subcontractors to optimise scheduling and minimise downtime.
- Monitor project management systems to identify required materials and services, ensuring deadlines are met.
Procurement Support
- Process purchase orders, maintain supplier records, and support supplier onboarding.
- Communicate with suppliers to ensure timely delivery of equipment and resolve any issues.
- Place orders for materials and services, tracking them to ensure they are received on time and in good condition.
- Maintain accurate records of costs, presenting cost analyses and reporting on variances.
Customer & Engineer Coordination
- Manage engineer diaries for installations, ensuring efficient scheduling.
- Book surveys with customers and provide timely communication.
- Contact customers post-sales handover to provide updates on next steps and timelines.
- Support the DNO (Distribution Network Operator) application process.
Financial & Project Reporting
- Update project reporting, including revenue recognition and forecasting.
- Maintain and manage cost sheets, tracking actual costs against budgets.
- Assist in tracking and updating project budgets and expenditures.
General Support
- Ensure all project documentation is accurate and up to date.
- Provide general administrative support to the project management and procurement team.
- Collaborate with other departments, including finance and operations, to ensure smooth project execution.
About You
Essential
- Good standard of education.
- Understanding of project management methodologies and frameworks.
- Knowledge of project stages, deliverables, and scope, time, and cost management.
- Experience in project support or administration, preferably within a technical or engineering environment.
- Strong organisational skills with the ability to manage multiple tasks and priorities.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and Salesforce.
- Experience with project management tools (e.g., MS Project, Jira, Trello).
- Excellent written and verbal communication skills.
Desirable
- Bachelor\’s degree in business, management, engineering, or a related field.
- Project management qualifications (PMP, PRINCE2, AgilePM, CSM).
- Experience in procurement, supply chain management, or a related field.
- Previous experience in engineering, construction, or the solar sector.
- Familiarity with the technical aspects of solar installations.
