Administrator Job Description
- Events Coordination
- Be responsible for settling up with event organisers and promoters after the event.
- Work alongside the auditorium programmer to book films and upload them to Spectrix.
- Recruit new volunteers.
- Help coordinate quarterly volunteer meetings.
- Liase with the volunteer assigned to update Rotacentral, ensuring that the correct number of volunteers are on duty for events.
- Oversee ticketing systems, venue hires, room hires, and income streams where applicable.
- Maintain accurate records, reports, and documentation.
- Oversee invoicing and ensure all are paid in a timely manner.
- Work closely with the programming team to support artistic delivery.
- Provide analysis reports using Spektrix to advise future event programming - e.g. ticket sales, audience demographics, profit margins, sales targets.
- Ensure events, ticket sales, and customer data is recorded accurately, safely, and securely in Spektrix.
- Create event listings in Spektrix, upload and publish on the Plough website.
- Support Operations Manager to report accurately to PRS and other regulatory bodies about ticket income.
- Film Screenings
- Together with the events programmer, book and negotiate film screenings with distributors.
- Order POS and digital marketing assets for films and deliver these to Marketing.
- Maintain accurate records about booked film screenings, including contracts, financial settlements, BORs (Box office returns), and film distributor contact details.
- Box-office Help and Duty Manager
- Box-office trained and occasional stepping in to help where needed due to sickness or Annual Leave.
- Duty Manager trained and regular responsibility.
