Role Overview

Global Partner Development & Relations is looking for a proactive and highly organised Planning & Operations Coordinator to join the GPDR Planning & Operations function. This role will help coordinate priorities, maintain key operational resources, support business rhythms and ensure activities are delivered smoothly across regions. It will also act as an on‑ground coordination point for London‑based GPDR activity, including leadership visits, team sessions, engagement moments and office‑based logistics.

What You'll Be Doing

  • Global Planning & Operations Support
    • Support coordination of GPDR planning activities, timelines, inputs and follow‑ups across regions.
    • Maintain key operational resources, including trackers, calendars, distribution lists, team documentation and shared materials.
    • Coordinate stakeholder inputs and deadlines for leadership forums, business reviews, planning meetings and operational discussions.
    • Support preparation of agendas, pre‑reads, notes, action logs and follow‑up materials.
    • Help improve consistency of documentation, coordination and ways of working across GPDR.
  • Business Rhythm, Forums & Engagement
    • Support recurring GPDR operating rhythms, including local leadership meetings, townhalls, Sync Weeks, workshops, offsites and engagement forums.
    • Coordinate meeting logistics, materials, communications, stakeholder follow‑up and actions.
    • Support global and regional team engagement activity, helping create a consistent and connected employee experience.
    • Partner with colleagues across Planning & Operations, Executive Assistant teams and cross‑functional partners to ensure activities are well planned and professionally delivered.
  • London & UK Office Coordination
    • Act as a London‑based coordination point for GPDR activities, leadership visits, employee engagement and team moments.
    • Support visitor logistics, room bookings, workspace arrangements, office communications and on‑site coordination.
    • Partner with Workplace, IT, Security and Executive Assistant teams to ensure smooth delivery of London‑based meetings and visits.
    • Support local onboarding logistics and help create a positive experience for London‑based employees and visiting leaders.
    • Provide additional local project and administration support as required (events, logistics, scheduling).

What we're looking for:

  • Experience in coordination, operations, administration, project support or business support roles.
  • Highly organised, detail‑oriented and reliable, with strong follow‑through.
  • Comfortable managing multiple priorities, stakeholders and deadlines.
  • Strong communicator with professional judgement and discretion.
  • Proactive, resourceful and comfortable anticipating what needs to happen next.
  • Able to work independently while collaborating effectively across teams and regions.
  • Confident using Microsoft 365, particularly Outlook, Teams, PowerPoint and Excel.
  • Interested in learning how global planning, operations and governance work in a large organisation.

Preferred Experience

  • Supporting global teams, cross‑functional projects or department operations.
  • Coordinating meetings, forums, events, planning sessions or engagement activity.
  • Working with senior stakeholders and confidential information.
  • Supporting process improvement, documentation or business rhythm coordination.
  • Local London knowledge of suitable venues and hospitality options for leadership visits & offsites.
  • Background in technology, entertainment, gaming or another fast‑paced global environment is beneficial.
