Job Purpose:
To ensure the daily accuracy of the attachments division, the national upkeep of our systems, including hire records and charges, on and off hire requests and hire contracts in our plant management system. This is a varied job that requires great customer service and the ability to work on your own initiative. As it is a busy environment, you will need to be experienced in working in hire control and work well under pressure.
Main Responsibilities:
- Hire Processing: Manage hire requests (on and off hire) and create hire contracts in the plant management system.
- Customer Communication: Effectively communicate with internal and external customers regarding availability.
- Charge Management: Upload damage charges to the plant management system.
- Asset Support: Upload asset defects, maintenance, and service records into the plant management system.
- Purchase Orders: Generate purchase orders for the plant department and assist with the goods receiving process.
- Administrative Assistance: Provide administrative support to the Depot Hire Desk.
- Process Improvement: Contribute to the efficiency of the plant department by identifying and implementing improved administrative processes and procedures.
Additional Responsibilities:
- Job Allocation: Responsible for managing job allocation for mobile staff based from the Bridgwater depot, ensuring jobs are allocated to the mobile team in a timely manner, ensuring best time management based on priority, job location, etc. Reducing as much as possible any outsourcing of roles.
- Process Controller: Ensuring correct processes are followed to the companies’ high standard for PDI & PHI repairs.
- Budget & Stock Control: Assisting with the stock control levels of the depot, ensuring appropriate re‑ordering as required, within the allocated budget.
- Depot Responsibilities: Site inductions for visitors, together with promoting the high level of health and safety standards for the depot, including completion of ladder inspections, COSHH maintenance and audit information. Depot cover for incoming telephone calls and enquiries for other depot based roles, providing cover for annual leave as and when required.
