Our Finance Team of two supports the wider business by providing accurate financial information and meaningful KPIs that inform decision-making.

A substantial part of the role is ensuring our financial information is up to date and accurate. This includes raising invoices promptly, processing purchase invoices, ensuring timely approval, and keeping Pleo credit card transactions fully reconciled with the correct receipts and descriptions.

As we work with a number of sub-consultants across our projects, you'll be responsible for checking that invoices agree with project budgets, ensuring suppliers are invoicing correctly and that costs are allocated to the appropriate projects.

Timesheet management is another important aspect. Ensuring timesheets are completed accurately and on time allows us to prepare monthly billing, monitor project performance and identify Work In Progress (WIP).

You'll also assist with reconciling project fees between our project management system CMAP, and Xero, ensuring all fees, recharges and costs are posted to the correct projects and nominal ledgers.

Cash flow is critical to any SME. The Finance Team is responsible for ensuring invoices are raised on time, outstanding debts are chased promptly, and cash flow is monitored regularly so the business can meet its financial commitments and continue to invest in its people and growth.

Alongside the day-to-day finance responsibilities, you'll support the wider business with project financial management. This includes helping project teams understand what has been invoiced, what remains to be invoiced, ensuring additional fees are captured within the project management system, and providing financial support to help projects perform successfully from start to finish.

Hours: Part-time position, of 22.5 hours per week, with distribution across the week to be agreed (7.5 hours per day maximum, and within the hours of 8am-6.30pm).

Location: Studio based, working as part of the wider team within a creative design environment.

Salary: Β£26-28k FTE

Key responsibilities

This is a varied role that requires strong attention to detail, excellent organisation and the confidence to work with colleagues across the business to ensure our financial information remains accurate, timely and commercially focused. Task will include:

  • Helping keep Pleo Credit Card Transactions up to date
  • Reconciling supplier and customer ledgers
  • Credit Control
  • Helping prepare month end Invoicing
  • Finance Project Reconciliation
  • Timesheet analysis
  • Staff Expenses
  • Bank Reconciliations
  • Xero to CMAP (Project Management System) Reconciliations
  • Assisting with ad hoc finance and administrative tasks

Experience

Previous experience in a finance assistant or similar role would be advantageous.
