Responsibilities:
- Provide administrative support on IP matters.
- Co-ordinate and maintain support for the IP team for all administrative duties.
- Maintaining intellectual property (IP) records in a database and extracting information by generating reports.
- Electronic filing of incoming/outgoing correspondence.
- Maintaining accurate prosecution files for patents and patent applications.
- Attending to patent formalities such as inventor assignments.
- Monitoring deadlines to ensure necessary actions are taken by responsible staff.
- Checking and processing invoices.
- Maintain accurate records of prior art to support IDS (Information Disclosure Statements) obligations and manage IDS-related activities, including coordinating the review, preparation and timely filing of IDS’s across relevant patent matters.
- Managing the IP team shared inbox and ensuring that all incoming enquiries and requests are appropriately triaged, tracked and actioned.
- Managing publication database, monitoring deadlines, maintaining accurate records.
- Organising, coordinating and maintaining records of IP-related training and awareness activities, including onboarding, refresher training and internal educational programmes.
- Supporting the development and maintenance of IP procedures, guidance documents and operational processes.
- Accurate creation and maintenance of records in the IP database according to established procedures.
Qualifications:
- Bachelor's degree in Law, Legal studies or a related field.
- Experience of handling patent formalities, obtained either in-house or in private practice.
- Experience using an IP docketing and document management system.
- CIPA Patent Administrator qualification.
