We are supporting a well-established organisation with an active investment function in the search for an experienced Executive Assistant to support senior leadership across legal and investment activity. This role is particularly suited to an EA with exposure to venture capital, early-stage investments (Seed–Series A), LP investments, and/or M&A activity within an in-house or institutional environment.
While experience is important, this hire will be heavily driven by personality fit. The successful candidate will be energetic, personable, proactive, and confident – someone who can have a laugh when appropriate, but is also highly diligent, discreet, and dependable when it matters.
The Role
You will act as a trusted partner to senior leaders involved in investment and legal decision-making, providing high-level administrative, organisational, and coordination support. The role requires strong judgement, anticipation of needs, and the ability to manage multiple priorities in a fast-paced, commercially focused environment.
Key Responsibilities
- Proactive diary and calendar management, coordinating complex and frequently changing schedules
- Strategic email inbox management, including triage, prioritisation, and drafting responses
- Acting as a primary point of contact for senior internal and external stakeholders
- Coordinating meetings end-to-end, including agendas, papers, minutes, actions, and logistics
- Supporting meetings relating to investments, transactions, and governance activity
- Preparing and managing senior-level and Board-related documentation
- Coordinating travel arrangements and managing expenses
- Accurate and concise minute taking and follow-up of actions
- Supporting project coordination, deadlines, and stakeholder follow-ups
- Handling confidential and sensitive information with the highest discretion
- Acting as a sounding board and flagging emerging issues where appropriate
- Identifying opportunities to improve processes and ways of working
- Collaborating with other EA/PA colleagues to provide cover and share best practice
Essential Experience
- Significant EA experience supporting senior leaders in an in-house legal, investment, or transactional environment
- Exposure to venture capital, private investments, LP activity, and/or M&A processes
- Strong Microsoft Office skills (documents, presentations, correspondence, expense tracking)
- Experience using collaboration and document management tools (e.g. Teams, SharePoint)
- Exposure to Board or senior leadership support
- Excellent written and verbal communication skills
- Exceptional organisational skills and attention to detail
- Strong judgement, problem-solving ability, and emotional intelligence
- Ability to work calmly and effectively under pressure with competing priorities
