A well-established and highly respected architecture practice is seeking an organised, proactive, and detail-focused Practice Operations Coordinator to play a key role within its studio team. This is a pivotal position supporting the Directors, project teams, and Practice Coordinator, ensuring the smooth and efficient day-to-day operation of the practice. The successful candidate will act as a central point of contact for the studio, providing high-quality administrative, operational, and PA support while contributing to the professional presentation and culture of the practice.
Key Responsibilities
- Serve as the primary point of contact for the practice, managing telephone communications, responding to enquiries, and welcoming clients and visitors.
- Ensure reception and meeting spaces are consistently presented to a high professional standard and prepared for meetings.
- Provide administrative support across project teams, including conducting regular audits within the document management system.
- Process expenses, coordinate team purchases and training bookings, and provide ad hoc administrative support to Directors.
- Deliver PA support to Directors, including diary management, travel coordination, and preparation of materials for meetings and presentations.
- Order office supplies and coordinate routine office maintenance.
- Provide basic IT support and liaise with external IT service providers as required.
- Update website content and support social media activity across LinkedIn and Twitter.
- Assist with the preparation and formatting of presentations, brochures, and studio documentation.
- Support the planning and delivery of client-facing events and internal social activities.
- Maintain project archives and records accurately, securely, and confidentially.

- Exceptional organisational skills with a strong attention to detail.
- Full driving licence, with the ability to use pool vehicles on occasion.
- Confident, professional, and personable communication skills, both written and verbal.
- Collaborative and approachable, with the ability to support colleagues at all levels of the practice.
- Professional, flexible, and adaptable, with the ability to work effectively across diverse personalities and working styles.
- Strong problem-solving skills and sound judgement.
- High levels of discretion and professionalism when handling confidential information.
- Experience using Adobe InDesign, Canva, or similar design software.
- Familiarity with website content management systems such as WordPress.
- Confidence interpreting basic project and financial information.
- Experience using document management platforms such as Blueroom.
- Proven experience planning and coordinating events for groups of 30+ attendees.
