An exciting opportunity has arisen for a Bid Coordinator to join a dynamic and growing architecture practice on a fixed-term contract for approximately 3 months. Located in central London, this practice is seeking a new team member to work closely with the Bid Manager and the Head of Business Development within the New Business Team to ensure the successful production and submission of high-quality bids and tenders for various projects. You will play a crucial role in the bid process, ensuring proposals are delivered on time and meet high standards of excellence. This role is ideal for someone experienced with the public sector procurement process and interested in the bid process, with excellent written and spoken English, attention to detail, and accuracy. The ability to manage multiple tasks simultaneously, work well under pressure, and familiarity with CRM/ERP/PIM systems are also desirable.
Key responsibilities include:
- Leading the end-to-end bid process, from compiling SQ responses to gathering bid collateral from previous submissions and bid libraries.
- Proofreading and reviewing bid responses to ensure they meet the practice’s standards and align with brand guidelines.
- Chairing bid kick-off meetings, coordinating review meetings, and liaising with internal teams to ensure quality submissions.
- Ensuring bids are supported with relevant collateral such as case studies, CVs, and images.
- Collaborating with sub-consultants to gather necessary information and ensure bid compliance.
- Managing tender portals, downloading bid documents, distributing responses, and raising queries when needed.
- Maintaining and updating the bid tracker database to ensure timely completion of tasks.
- Contributing to the development and improvement of bid management systems.
