The PJT Park Hill Real Estate Team seeks to hire a highly motivated Administrative Assistant to support the team, namely in expense management, complex calendar management and coordination of travel arrangements. The ideal candidate will possess strong administrative, organisational, and communication skills and have the ability to exercise good judgement in a variety of situations.
Responsibilities include, but are not limited to, the following:
- Expense management – tracking, preparing and processing expense reconciliations, out-of-pocket reports and invoices in a timely and accurate manner
- Project code creation – partnering with junior professionals to track, create and manage the life cycle of project codes
- Manage calendars, schedule appointments, coordinate with other assistants, and confirm meetings with clients and internal colleagues
- Arrange travel and reservations for professionals (e.g. flights, cars, hotels etc.), using good judgement with respect to timing and cost; assist with client travel as required
- Provide general support on broader activities as needs arise, including support on reception, input on training programs and onboarding, roadshows and events, collaborating with other offices, new joiner orientation etc.
Qualifications:
- Exceptional organisational and time-management skills; ability to manage multiple priorities and work under pressure; problem solve and make adjustments as needed
- Excellent oral and written communication skills and high attention to detail
- Professional presence, positive demeanour and strong interpersonal skills
- The desire to work as part of a strong team
- High level of integrity, sound judgement, and strong work ethic
- Eagerness to work in an entrepreneurial, results-driven environment
- Proficiency in Microsoft Office Suite, Workday experience a plus
