Job Description
- To provide reception support including greeting all visitors professionally, answering calls in a timely manner and escalating messages accordingly
- Managing and filing client documentation in accordance with the Data Protection Act 1998
- To keep accurate records of all client referral and interactions on database and manual paperwork
- To manage, order and administer petty cash, client payments, vouchers, BACS, checking of invoices in line with Finance processes and procedures
- To ensure that adequate forms and supporting evidence exists for all payments
- General administrative duties such as dealing with mail, enquiry handling, filing, photocopying, room bookings, scanning etc
- Undertaking such duties/tasks as the Manager may determine are compatible with the responsibility levels of the post
- To ensure that stationery supplies are maintained at adequate levels
- Support Advisors in the tracking and monitoring of audit compliance documentation and provide progress reports
- Monitor client feedback and update management on a regular basis
- Support clients with job search activity as and when required
Person Specification
- Experience as an administrator with an interest in finance
- Ability to build rapport and adapt to client need
- Ability to cope in a busy office environment and work directly with customers
- Ability to manage multiple and conflicting priorities and projects to ensure deadlines are achieved as well as being trustworthy when it comes to delivery of information, reports and managing diaries and office requirements
- Ability to work to team and organisational goals
- Attention to detail and an ability to work under pressure
- Can adapt to changing demands and conditions
- Excellent presentation, listening and written skills
- Strong interpersonal skills and an ability to communicate with individuals from different backgrounds with varying communication needs and requirements
- Strong IT knowledge particularly in the use of MS Office packages along with an organised and structured approach
