About the Role
We are looking for a highly organised and proactive Executive Assistant to provide high-level administrative and operational support to our Senior Leadership Team, including Chief Officers (e.g. CEO, CCO). This role is critical to the smooth running of the business, acting as a central coordination point for executive activity, communications, and priorities. The successful candidate will enable senior leaders to focus on strategic objectives by ensuring efficient, well-managed day-to-day operations. This is a fast-paced, trusted role requiring discretion, attention to detail, and the confidence to manage competing priorities.
Primary Responsibilities
- Executive Support
- Provide comprehensive administrative support to the Senior Leadership Team.
- Manage complex diaries, calendars, meetings, appointments, and travel arrangements.
- Prepare daily briefings, agendas, meeting packs, and executive documentation.
- Screen and manage emails, calls, and correspondence on behalf of executives.
- Draft, edit, format, and proofread reports, presentations, and internal communications.
- Act as a key point of contact between executives and internal and external stakeholders.
- Coordinate communication across leadership teams and departments.
- Handle sensitive and confidential information with discretion and professionalism.
- Organise, attend, and minute meetings, ensuring actions are captured and followed up.
- Coordinate board meetings, leadership offsites, and company-wide events.
- Track action points and ensure timely completion.
- Support special projects, research activities, and reporting requirements.
- Track progress against strategic initiatives and provide regular updates.
- Assist with cross-functional coordination and workflow management.
- Arrange domestic travel, including itineraries, accommodation, and logistics.
- Manage expense claims and budgets related to executive activity.
- Maintain accurate digital and physical filing systems.
- Support onboarding of senior hires and wider executive team needs.
Essential Requirements
- Proven experience as a Personal Assistant or Executive Assistant supporting senior leadership.
- Exceptional organisational and time-management skills.
- Strong written and verbal communication skills.
- Ability to prioritise effectively and manage multiple tasks in a fast-paced environment.
- High level of discretion and professionalism when handling confidential information.
- Strong attention to detail with a proactive, problem-solving mindset.
- Proficiency in Microsoft Office and/or Google Workspace.
- Flexibility to travel if required. (UK only)
Desirable (Nice to have) Skills
- Experience working within financial services or a corporate environment.
- Experience supporting multiple senior stakeholders simultaneously.
- Familiarity with executive-level workflows and business operations.
- Relevant administrative or business qualifications.
