As an Office Coordinator you will:

  • Act as a visible and welcoming front‐of‐house presence, providing a warm, professional first point of contact for staff, visitors and contractors, and supporting all Facilities‐related queries.
  • Coordinate and support the smooth setup and delivery of office events, ensuring all logistical, facilities and environmental requirements are well managed.
  • Take ownership of the company’s main telephone line, handling and transferring calls professionally, monitoring call performance and supporting new call‐group members with training.
  • Manage inbound and outbound post and packages, ensuring items are stored correctly, distributed promptly and collected safely.
  • Oversee the visitor booking, arrival and departure process, ensuring guests are warmly welcomed, offered refreshments and connected quickly with their hosts.
  • Administer staff and visitor access cards, including issuing, replacing and collecting cards, while maintaining accurate records.
  • Work closely with the Bignell Office Lead to continuously improve the office experience, support sustainability initiatives and contribute to enhancements across the working environment.
  • Provide office tours as part of new starter and visitor orientation, helping to create a positive first impression of DM.
  • Support the Facilities team with routine maintenance and project‐related activities across DM’s estate, including coordinating minor contractor works and liaising with service providers such as cleaners and maintenance suppliers.
  • Maintain and enhance office aesthetics, including care of indoor plants, communal spaces and basic daily maintenance of office coffee machines.
  • Participate in Facilities team meetings, tracking actions and supporting administrative tasks such as minute‐taking.
  • Coordinate and maintain records for company vehicle hire arrangements.
  • Undertake keyholder responsibilities, supporting end‐of‐day procedures to ensure the office is secured and systems such as lighting and air‐conditioning are switched off appropriately.
  • Monitor office equipment such as printers and the franking machine, arranging maintenance and liaising with suppliers for technical support.
  • Arrange appropriate disposal and recycling of office waste, including batteries and toner cartridges.
  • Carry out all work in compliance with relevant legal, regulatory, contractual and organisational requirements and policies.

  • Have strong time‐management and prioritisation abilities, with the capability to manage multiple tasks effectively.
  • Bring excellent administrative and organisational skills, with high attention to detail.
  • Be confident taking ownership of administrative processes and seeing tasks through to completion.
  • Be proficient in Microsoft Office applications (Outlook, Word, Excel) for communication and document creation.
  • Have a proactive, positive and solution‐focused approach to work.
  • Work collaboratively as part of a team while also using initiative independently.
  • Be able to work full‐time from the office.
