We’re looking for a highly organised and proactive Personal Assistant / Coordinator to support the Business Development & Marketing (BD&M) leadership team at a global level. This is a pivotal role at the heart of the function—ensuring leadership activity is coordinated, priorities are clear, and operations run smoothly across the UK, EMEA, and APAC.
What you’ll do
- Executive & Leadership Support
- Manage complex diaries and coordinate meetings across multiple time zones
- Prepare agendas, materials, and track follow‑up actions
- Support senior leadership with day‑to‑day coordination
- Planning & Coordination
- Coordinate key meetings, planning cycles, and communication flow
- Track priorities and ensure actions are followed through
- Support reporting processes by gathering and collating inputs
- Operational Support
- Manage expenses, travel, and logistics
- Support budget tracking and finance processes (including Emburse)
- Provide guidance on operational processes and administration
- Team & Function Support
- Act as a central contact point for BD&M queries
- Support onboarding and induction tracking for new joiners
- Maintain intranet updates and track team changes
- Help ensure information is accessible and well managed
