Your mission
Highly organised, proactive and thrive in a fast paced beauty environment? Join our dynamic Business Unit as our co-ordinator! You will be the backbone of the team – organising and co-ordinating to ensure we all excel at delivering our strategy and growth targets. You will report directly to the Business Unit Director. This is a fantastic opportunity to gain valuable experience while working with a portfolio of iconic dermo-cosmetic brands.
Roles & Responsibilities
- Administration tasks
- Support with calendar organisation and meeting room booking.
- Be the lead in the team for raising PO’s on time, ensuring they get receipted and paid on time for activity. Ensure all PO’s are tracked with excellence and accuracy.
- Leading the product sample tracker ensuring all samples are accounted for with no overspend versus budget.
- Manage our customer service inbox – responding to consumer queries in a timely manner and seeking advice from others where needed to shape responses and advice.
- Lead on our Product information management system which collates all product data and images so it can be extracted easily for e-retailers.
- Digital & Influencer Marketing tasks
- Assist with product send outs.
- Support the digital team with drafting and editing newsletters for Eau Thermale Avène, ensuring brand tone and accuracy.
- Manage Bazaarvoice sampling activity, including product allocation, tracking, and ensuring timely delivery to support ratings and reviews.
- Brand Management Tasks
- Be “the voice” of the marketing team internally in Reading and via our corporate website. This involves ensuring townhall events are organised with excellence and we announce key milestones and events on corporate homepage to ensure U.K business is sharing successes.
- Organisation of all marketing events and meetings so that we stand out as a team and department who excel at delivering engaging meetings which motivate others in the business.
- Sales Team tasks
- Complete and submit new line forms for retailers on behalf of the sales team, ensuring accuracy and timely delivery.
- Coordinate logistics for retailer meetings, including booking meeting rooms, arranging refreshments, and ensuring all materials and samples are delivered in advance.
- New Agency Collaboration
- A key part of this role will be to successfully project manage our due diligence process of getting new agencies onto our roster. This involves the co-ordination of multiple stakeholders to ensure all due diligence is completed which allows the agency to commence working with us.
- Lead the completion of all ad hoc compliance forms departments may need from time to time.
- Onboarding of the new agencies - co-ordination of necessary training and ensure they feel like “part of the family”.
- Manage staff product orders from end to end, including request intake, processing, fulfilment, and tracking.
- Coordinate travel arrangements for the marketing and sales teams, including booking flights, trains, accommodation, and meeting rooms.
- Order and maintain stock of office stationery and supplies for the team.
