We are looking for a proactive and highly organised legal assistant to support our Residential Property team.
About Us:
Pictons is a well-established firm committed to delivering high quality legal services with a client focused approach. The successful candidate will support fee earners and members of the residential property team with onboarding new clients, post completion and client-facing tasks, helping to deliver a high standard of legal service.

Reports to: Head of Residential Property
Key Responsibilities
- Opening/closing files – dealing with onboarding clients in line with the Firm’s policies and procedures.
- To receive clients and visitors to the office, ensure meeting rooms are booked, and clients access needs are addressed.
- Providing written quotes for transactions and taking details for new enquiries and to chase all enquiries and aim to convert quotes.
- Reviewing titles and raising enquiries or assisting with replying to enquiries raised by the other side solicitor.
- Researching and communicating suitably with third parties to obtain information relating to property.
- Reviewing and preparing search report.
- Producing exchange letters on files.
- Follow instructions for the preparation of files for completion.
- Oversee completions files.
- Post completion work – dealing with the payment of Stamp Duty on the day of completion; registration formalities following completion within deadlines; dealing with requisitions raised by the Land Registry and queries from lenders.
- Dealing with post – incoming and outgoing.
- Assisting others in the department during absence and periods of high workload.
- Assisting other departments with their duties and performance as and when the business need arises.
- Making and receiving telephone calls on behalf of other members of the team, keeping a log of all calls and making suitable telephone attendance notes.
- Maintain all key dates and deadlines in the department calendar and set reminders with key personnel to avoid missed deadlines.
- To assist in the retrieval of deeds and files from storage.
- Deal with all enquiries received via the firm’s ‘info’ email address.
- To abide by the Firm’s policies and procedures as set out in the Office Manual, Employee Handbook and other associated documents.
- Any other duties that may reasonably be required.
Key Skills and Experience
- Previous experience as a legal assistant or secretary
- Strong administrative and organisational skills with excellent attention to detail.
- Confident in working with case management systems and Microsoft Office applications.
- Ability to communicate effectively with clients and colleagues at all levels.
- Demonstrate high standards of client service
- Ability to prioritise workload and work under pressure to meet deadlines
