We are looking for a proactive and highly organised Strategy and Corporate Communications Assistant to support our Strategy, Corporate Communications and Events team. Reporting to the Head of Brand & Marketing, this varied role offers a unique opportunity to gain experience across events, communications and business support, with responsibilities split broadly between events coordination and delivery (50%) and operational and administrative support (50%). Working closely with colleagues across Brand & Marketing, Corporate Affairs and Strategy, you will play a key role in helping the team deliver successful events and ensuring the smooth running of day-to-day operations. This role is a 12 month Fixed Term Contract.

Specific accountabilities assigned to the role of Strategy and Corporate Communications Assistant within the Strategy Function:

  • Team Reporting and Coordination
    • Preparation of team Management Information, tracking and following up on meeting actions
  • Corporate Event and Post-Event support and administration
    • Assist with venue research, booking and setup coordination
    • Help to develop event schedules and prepare name badges, signage and event guides
    • Diary co-ordination for planning meetings
    • Manage event RSVPs, delegate communications and maintain and update the company CRM system, ensuring stakeholder records are accurate, complete and up to date
    • Assist in reporting, budget reconciliation and Archive event documentation
    • Assist with contract management, including guiding agreements through the contract approval process and ensuring timely signatures
    • Provide support for the policyholder On-Demand video series, assisting with content preparation, liaising with speakers and key stakeholders
  • On-Site Execution
    • Provide front-line support during events (e.g. registration desk, guest assistance)
    • Coordinate with staff, volunteers, and stakeholders
  • General team administration support
    • Manage business cards process for the company
    • Travel bookings for Strategy and Corporate Communications team as required
    • Ad-hoc admin tasks required from the team e.g. onboarding of new suppliers
  • Budget Management
    • Raising Purchase Orders and receipt Purchase Orders ready for payment
    • Supporting employee event travel and expenses for the policyholder programme

Requirements

  • Knowledge
    • Knowledge of finance administration, purchase orders, invoice tracking and budget awareness
    • Knowledge of marketing and communication tools and systems (e.g. content calendars and asset libraries) beneficial
    • Knowledge of financial services and insurance industries desirable
  • Skills
    • Strong planning and organisational skills
    • Good written and verbal communication skills
    • Strong collaborative skills, with the ability to work effectively as part of a team
