Established in 2012, Physit Physiotherapy was created to meet the growing need for high-quality rehabilitation in patients\’ homes. Today, we provide physiotherapy in homes, care settings, workplaces and our South-West London clinic room, supporting older adults, people recovering from surgery or illness, and those living with neurological or musculoskeletal conditions. Our hands-on, person-centred approach is focused on restoring mobility, confidence and independence, with responsive and professional support from the first enquiry onwards.
The opportunity
Physit Physiotherapy is looking for an experienced part-time Practice Administrator to join our office-based team in Fulham, South-West London. Working 24 hours over three days, you will provide excellent client service, coordinate physiotherapists\’ diaries and support the administrative and financial processes that keep our healthcare service running smoothly.
This is a varied role with real responsibility. It will suit someone who takes pride in accurate, well-organised work and can balance client care, diary coordination, attention to detail and commercial awareness in a busy healthcare environment.
What you will do
- Provide a professional, helpful and reassuring service to current and prospective clients by phone and email.
- Guide new clients from initial enquiry through onboarding, ensuring information is complete and next steps are clear.
- Coordinate clinicians\’ diaries to maximise appointment availability while reducing unnecessary travel time and cost.
- Follow up enquiries and existing clients appropriately to support continuity of care and appointment occupancy.
- Explain Physit\’s services clearly, respond confidently to questions and help prospective clients overcome reasonable concerns about booking.
- Allocate payments, issue and manage invoices, monitor outstanding balances and support timely debt collection.
- Maintain accurate, well‑organised and confidential patient records, correspondence and administrative documents.
- Process cancellations consistently and in line with Physit\’s Terms and Conditions.
- Liaise professionally with insurers, medical partners and other third-party providers.
- Monitor office stock and stationery, complete regular checks and arrange replenishment when needed.
- Open and close the office as required.
- You will report to the Practice Manager.
What you will bring
- Previous experience in an administrative, secretarial or customer-service role.
- A good standard of education to GCSE level or equivalent.
- Clear, confident and professional written and verbal communication.
- A calm, patient and diplomatic approach, including when handling concerns or conflicting priorities.
- Strong organisation and time management, with the ability to prioritise your own workload and adapt during the day.
- Accuracy, thoroughness and the ability to work effectively under pressure with limited supervision.
- Confidence using Windows and Microsoft 365, particularly Excel, Outlook and Teams.
- A strong commitment to confidentiality and the appropriate handling of sensitive information.
- Administrative or customer-service experience in healthcare.
- Experience using a CRM, patient-management system or other database.
- Experience preparing reports and maintaining accurate database records.
- Confidence supporting business social media platforms.
Hours, pay and benefits
- Part-time position working 24 hours per week over three days.
- £15.00 per hour, equivalent to £18,720.00 per year for the contracted hours (£31,200.00 full-time - 40 hrs / week - equivalent).
- 28 days’ annual leave including bank holidays (pro rata), plus one additional day for each completed year of service, up to a maximum of five additional days (also pro rata).
- Company pension.
- The role is office-based at our central office in Fulham, SW6.
- A full working day runs from 9am to 5.30pm; the hours for any shorter days will be agreed separately.
- The normal working pattern is 24 hours over three days. The specific working days will be agreed as part of the appointment.
- Because the position includes opening, closing and day-to-day office cover, reliable travel to Fulham is important.
- Flexibility is required to provide agreed holiday cover when reasonably needed.
