About The Role

Job Location: Tiverton/Field Based

Salary: £27,050.40pa based on working 36 hours per week, 52 weeks per year

Contract Type: Permanent

Benefits: 5.6 weeks annual leave, and 9 day fortnight

We’re looking for someone who’s ready to join a new and exciting Team. Someone who can help us ensure every Team Member has the right skills, the right qualifications, and the right training for the people we support every day. This is a brand‑new role, and you’ll be right at the heart of it. As the first point of contact for our Phoenix Learning Academy, you’ll play a key part of the team. You’ll be the person who keeps everything running smoothly, the glue that holds together our examinations and certification processes, making sure they’re accurate, compliant, and truly centred around the team members experience across all qualifications. You’ll make sure all funding returns are accurate and timely, and that we remain fully compliant with ESFA funding rules, awarding‑body requirements, and examination regulations. In short, you’ll help us maintain the high standards our Team Members deserve.

A day in the life of an Administrator will involve:

  • You’ll take ownership of the ILR, Learner data and funding compliance, ensuring records are accurate, submissions run smoothly and all activity meets ESFA and awarding‑body standards.
  • Oversee the full exams, assessment and certification cycle, from registrations and timetabling, to invigilation, results processing and secure certificate management.
  • Lead the administration of OneFile and other e‑portfolio/ILR systems, managing enrolments, tracking Learner progress and keeping evidence and reporting workflows running efficiently.
  • You’ll produce and maintain reports, dashboards and tracking tools that give clear visibility of Learner progress, achievement, attendance, compliance and overall performance.
  • You’ll link closely with the JCQ to stay abreast of regulatory updates.

To be a successful Administrator, you’ll need:

  • Strong general education with excellent communication skills and confident IT capability, including Microsoft Office and database/MIS use.
  • High accuracy and attention to detail, with solid experience in administrative or data‑focused roles.
  • Well‑organised and able to manage workload, prioritise effectively and meet deadlines.
  • Understanding of safeguarding, equality, diversity and inclusion, with a positive, flexible and resilient approach to work.
  • Experience within an education, training or exams environment, ideally including ILR/ESFA compliance, assessment or exam administration.
  • Familiarity with systems such as OneFile and experience liaising with awarding bodies, EPAOs or external quality assurers (Exams Officer qualification desirable).
