The Production and Industrialization Coordinator supports the Production Manager and the Industrialization team by managing the operational and administrative aspects of production and industrialization activities. This role ensures the accuracy of system data, coordinates effectively with vendors and logistics partners, and monitors industrialization milestones to ensure deadlines are met. Additionally, the coordinator oversees the execution of production orders, packaging, and deliveries, ensuring all activities are carried out efficiently and in compliance with company standards.
Responsibilities
- Production Administration & Systems Management
- Maintain accurate and up-to-date vendor records in internal systems, including MID codes, factory addresses, freight details, and contact information.
- Ensure all SKUs are correctly set up in the system, including compositions and country of origin.
- Keep production data up-to-date, including production ex-factory dates, delivery timelines, and order status updates.
- Maintain packaging information in the system, ensuring accuracy across all styles and SKUs.
- Create list of usage of NFC tags and quantities per SKU/vendor, hand over to Customer Service & Operations team for programming.
- Spot check NFC tags once programmed and ship to vendors.
- Update budget on the system and tracking of all Purchase orders.
- Industrialisation
- Collaborate with product development teams and industrialisation managers to input comments on the system and communicate with vendors officially on the status of the industrialisation process (includes management of Pre-production samples, seal samples, top of production).
- Update regularly the production manager on the status of the industrialisation and potential delays to production deliveries.
- Compile QC packs based on feedback given by industrialisation managers and share with QC external partners.
- Manage and adhere to industrialisation calendar and provide check-points with industrialisation managers to respect deadlines.
- Collaborate with the industrialisation and production teams for an effective flow of information so that the product can be delivered on brief and on time.
- Management of Web samples which includes order to vendors, tracking against deadlines and liaising with Visual team on late arrivals and possible solutions.
- Purchase Orders & Documentation
- Issue purchase orders for bulk production, web samples, and pre-production samples (PPS).
- Verify all PO details including quantities, pricing, delivery dates, and packaging requirements.
- Check and reconcile production invoices against approved purchase orders, flagging discrepancies for resolution.
- Logistics & Delivery Coordination
- Liaise closely with the Logistics Assistant to support smooth inbound deliveries and timely receipt of goods.
- Coordinate the generation, downloading, and distribution of barcode labels, ensuring correct labelling and shipment to vendors.
- Packaging Coordination
- Assist the Production Manager with the ordering, allocation, and tracking of packaging materials and with the creation of vendor packaging overview.
- Ensure packaging quantities align with production orders and delivery schedules.
- Support updates or changes to packaging requirements as needed.
- Production Tracking & Reporting
- Assist the Production Manager in tracking production progress and factory updates.
- Monitor order status and follow up with vendors on key milestones and delays.
- Support the preparation of production reports and updates for internal teams.
Skills & Qualifications
- Proven experience (3+ years) ideally within a luxury brand.
- Strong attention to detail and accuracy in data management.
- Highly organized with the ability to manage multiple tasks and deadlines.
- Proficiency in Microsoft Excel and internal production systems.
- Clear and professional communication skills when working with internal teams and external vendors.
- Ability to work collaboratively in a fast-paced production environment.
- Italian Speaker.
