Purpose of the role: To support the Inbound Logistics daily operations ensuring the smooth, efficient, and timely flow of finished products, raw materials, and accessories from global suppliers to our warehouse in Italy and production facilities. This role is critical in supporting the Inbound department.
Responsibilities:
- Booking Daily Raw Materials and Product Development sample shipments with couriers/freight forwarders.
- Coordinating pickup and delivery times with suppliers and carriers.
- Updating Raw Materials/Finished Goods shipping tracker.
- Resolving any issues during the shipping period, communicating any delays to the relevant departments.
- Organizing and monitoring any ad-hoc shipments for other departments or suppliers.
- Resolving any Customs issues during clearance processing.
- Working closely with courier partners to investigate any shipment claims.
- Providing relevant documentation to assist in clearing shipments through Customs.
- Liaising with 3PL based in Europe daily and responding to any queries regarding orders.
- Preparing necessary shipping documents, including bills of lading, commercial invoices, and customs declarations.
- Supporting the ASN creation for the inbound shipments, sharing them with the warehouse and making sure they received and closed them.
- Supporting the department and management with any administrative and adhoc requests.
Measures of Success:
- Resolving any customs issues in clearance in a timely manner.
- Reducing resolution time for customer claims and/or issues.
- Escalating common pain points within the business to improve processes and daily operation.
- Ensuring all administrative tasks are completed within the given timeframe.
Qualifications, Skills, Experience Required:
- Experience within the luxury fashion industry ideal.
- 1-2 years Logistics experience.
- Customer service experience.
- Knowledge of Incoterms.
- Basic knowledge of customs clearance procedures.
- Basic knowledge of Excel.
- Strong written and verbal communication skills.
- Strong organisational skills.
- Excellence in working under pressure and delivering on multiple priorities.
- Strong initiative, taking ownership of tasks and follow-through.
- Strong communication skills and ability to work across internal and external stakeholders.
- Passionate about work with a ‘can-do’ attitude.
- Italian language is a plus.
