Philip Kingsley is the world-leading authority in hair and scalp health, with over 60 years of clinical heritage. Today, we remain an independent, family-owned British brand, continuing to bridge the worlds of science, beauty, and wellbeing through our clinical services and innovative, results-driven product formulations rooted in trichological expertise.
We take a holistic approach to hair and scalp health and, as pioneers of the “skinification” of hair, we have always understood that healthy hair starts at the scalp. Our philosophy is centred on the longevity and preservation of hair because we know that when hair is at its healthiest, it doesn’t just transform how it looks — it transforms how you feel, restoring confidence and self-esteem.
At our headquarters anchored in the heart of London, we are customer-obsessed, ambitious, and committed to excellence. As we enter an exciting new phase of growth, we are seeking high-calibre talent to join our team and play a meaningful role in shaping the next chapter of the Philip Kingsley journey.
We are looking for an organised, proactive and detail-focused Operations & Supply Chain Assistant to join our team. This is a varied, hands-on role offering exposure across the full supply-chain process. Rather than being focused solely on inbound or outbound activity, you will support and gradually take ownership of a portfolio of suppliers, customer orders and operational processes from beginning to end.
You will work closely with our Head of Operations & Supply Chain, Supply Chain Planning & Operations Lead and Operations & Supply Chain Coordinator, as well as teams across Sales, Finance, Ecommerce and Customer Service. The role would suit someone who enjoys working with data, systems and people, and who is looking to build a broad career within supply chain and operations. You will receive structured training and gradually take ownership of increasingly complex suppliers, customers and operational processes.
RESPONSIBILITIES
- Process and manage customer orders accurately from receipt through to delivery.
- Monitor stock availability, back orders, order amendments and customer requirements.
- Coordinate delivery bookings, documentation and order updates.
- Support the resolution of delivery issues, shortages, returns and claims.
- Maintain accurate customer information and delivery instructions.
- Raise and maintain purchase orders for an assigned supplier portfolio.
- Monitor production and delivery dates, escalating potential delays or shortages.
- Coordinate inbound deliveries and support the resolution of receipt discrepancies.
- Process stock transfers, reworks and other routine warehouse instructions.
- Maintain accurate supplier and inbound records.
- Support stock replenishment across customers, channels and locations.
- Maintain accurate stock, batch and expiry information.
- Assist with short-dated, damaged and faulty stock reporting.
- Support stock takes, reconciliations and inventory investigations.
- Maintain operational trackers, systems and supporting documentation.
- Prepare information for weekly reviews and KPI reporting.
- Provide cross-cover across inbound and outbound activity.
- Support product launches, peak trading periods and wider supply-chain projects.
ABOUT YOU
You may already have some experience within supply chain, operations, order management, logistics, purchasing or customer operations. However, we are also open to candidates with strong transferable skills who are looking to develop in this area.
You will ideally have:
- Strong organisation and attention to detail.
- Confidence working with numbers, systems and spreadsheets.
- Good written and verbal communication skills.
- The ability to manage several priorities and meet deadlines.
- A proactive approach and willingness to follow tasks through to completion.
- The confidence to ask questions and escalate risks when required.
- A collaborative and practical working style.
- Experience using Microsoft Excel and business systems.
- Experience within consumer goods, beauty, retail, ecommerce, manufacturing, warehousing or wholesale would be helpful, but is not essential.
LOCATION
We are based in our Trichological Clinic in Mayfair. Our office is nearby, just off Regent Street, where the PKP division is based. This is a full-time role, based predominantly in the office, 2 days per week, with the remaining 3 days to be worked at home or from the office.
DIVERSITY AND INCLUSION
We’re committed to creating an inclusive workplace that promotes and values diversity. Organisations that are diverse in age, gender identity, race, sexual orientation, physical or mental ability, ethnicity, and perspective are better places to work. But more importantly, creating an environment where everyone, from any background, is welcome and can do their best work is the right thing to do.
