Philip James Independent Financial Advice was established in 2011 and has grown to become a highly successful directly-authorised IFA business with over 500 clients and some £150m of funds under advice. We are looking for an experienced financial services administrator to join our team of three support staff. This is a full-time position in which you will be working remotely but closely with the rest of the team, our director, three advisers, and compliance consultant, with the potential for the right candidate to move into a team leadership role in the next 12 months.

What you’ll be doing:

  • Preparing documentation for client reviews, handling enquiries and requests from clients and dealing accordingly.
  • Effecting fund switches, investments and withdrawals, setting up compliant new business submissions.
  • Processing fees and commissions, arranging and following up letters of authority.
  • Diary and email management for our director and advisers.
  • Regular review of all work in progress, assisting in the management of daily workflows and allocation of tasks within the team.
  • Developing an understanding of our compliance processes, working with the director to take responsibility for the maintenance of required documentation.

What we’re looking for:

  • Experience and a proven track record in an administrative role in a financial advisory practice.
  • Ideally, knowledge and understanding of the True Potential back office system, and Transact and TP platforms.
  • Proven ability to work remotely, demonstrating experience in task and time-management and working to deadlines.
  • A good ‘fit’ for our close-knit team, great telephone, online meeting and communication skills.
  • Based within reach of Swindon (for initial and ongoing training with our Head of Admin) and Burford (our main office, for monthly team meetings).
