About the Practice

Phi is investing in the ownership needed to connect senior business stakeholders with engineering - turning operational needs into clear priorities, validated requirements and scalable internal products that support a growing business.

This role sits within Internal Operations / phi. ai Ops.

The purpose is to create clarity between business demand and technical delivery: understand the problem, reconcile definitions, align stakeholders, test options and make the roadmap explicit before work enters engineering delivery.

The role owns the roadmap for internal operational workflows across sales, recruitment, statements of work, engagements, approvals, pricing and reporting.

These workflows currently run largely through Salesforce, but the role defines requirements independently of platform and helps shape the future
solution.

About the Role and Responsibilities

With a regular on-site presence in Phi's office in Hatfield, the Business Analyst will work directly with the CEO, Sales and relevant operational owners, in partnership with the phi. ai Ops Engineering Lead and engineering team, to provide the ownership that turns operational needs into validated, prioritised and scalable internal products.

Main responsibilities will include

  • Lead discovery: run regular discovery with executive leadership, Sales and operational owners; look beyond the initial request to clarify the decision, problem or outcome that matters.
  • Understand the operating system: map current and target workflows - including those currently managed in Salesforce - together with systems of record, data definitions, manual handoffs, business rules, controls and cross-system dependencies.
  • Define the product: turn business needs into clear outcomes, user journeys, requirements, acceptance criteria and UAT scenarios, including the analysis needed to define approval workflows.
  • Prototype to learn: use Claude or comparable AI tools to create rapid interface and workflow prototypes, gather user feedback and improve the definition before the engineering team commits to a build.
  • Own priorities and expectations: maintain an evidence-led roadmap and backlog, making value, urgency, dependencies, capacity, trade-offs and the impact on other priorities visible.
  • Partner through delivery: work with the phi. ai Ops Engineering Lead and engineers to resolve business ambiguity, support UAT and adoption, and keep operational ownership explicit.

  • Create a priority view of systems, workflows, gaps, dependencies and process-improvement opportunities.
  • Produce validated prototypes and an evidence-led backlog with outcomes, acceptance criteria and owners
    visible.
  • Key Skills

To be successful in the role, the ideal candidate will bring

  • Product ownership, product management or business analysis experience across internal systems, data rich products or operational change.
  • Experience owning requirements and product change in Salesforce or a comparable enterprise CRM environment, including data models, workflows, integrations, reporting dependencies and UAT (Salesforce administration or development skills are not required).
  • Credibility with senior commercial and operational stakeholders, including the ability to manage changing or conflicting expectations.
  • Very strong analytical skills and the ability to understand a complex workflow quickly.
  • Systems thinking across users, processes, data, controls, dependencies and downstream impacts.
  • Strong discipline in roadmap management, prioritisation, requirements, acceptance criteria and UAT.
  • Good UX judgment and a willingness to use Claude or similar AI tools for analysis and rapid prototyping
    (coding skills are not required).
