This is an exciting opportunity for a bright, ambitious individual to play a central role in Phi's client-facing sales function at the very start of their career. Our senior sales team manages relationships with some of the most senior figures in capital markets - Managing Directors, Chief Technology Officers, Chief Operating Officers and their teams at the world's leading investment banks and hedge funds.

This role sits at the heart of that activity. As Sales Administrator, you will be the operational backbone of the sales team - ensuring that client meetings are coordinated impeccably, that the CRM reflects the reality of the pipeline, and that every interaction with a client or prospect is well-prepared and well-executed.

You will work closely with the Head of Sales and a team of experienced sales professionals who will invest in your development and give you genuine exposure to the business from day one. This is not a passive administrative role. The right candidate will be proactive, sharp and genuinely interested in building a career in a high-performance, client-centric environment. Key Responsibilities
  • Client Meeting Coordination
    • Coordinate and schedule client meetings on behalf of the senior sales team, liaising directly with Executive Assistants, Personal Assistants and senior contacts at Tier-1 investment banks, hedge funds and asset managers.
    • Manage complex, multi-party diary scheduling across different time zones, ensuring the sales team's calendar reflects live priorities and that no meeting falls through the gaps.
    • Prepare concise briefing notes and logistics packs ahead of client meetings - covering attendee backgrounds, agenda items and any relevant account context.
    • Send and manage meeting confirmations, reminders and follow-up communications with professionalism and care; every touchpoint with a client contact should reflect Phi's standards.
    • Book meeting rooms, arrange video conferencing and manage all practical logistics so that client meetings run without friction.
    • Coordinate post-meeting follow-ups as directed by the sales team, tracking actions and ensuring timely responses.
  • CRM & Pipeline Data
    • Maintain accurate, up-to-date records of contacts, accounts, meeting activity and pipeline data within Salesforce CRM.
    • Log all client interactions promptly and consistently, ensuring the sales team has a clean, reliable view of each relationship and opportunity.
    • Support the Head of Sales with regular pipeline reporting - extracting data, formatting summaries and flagging gaps or anomalies.
    • Assist with coding and data hygiene processes within Salesforce, helping to enforce governance standards across the team.
    • Onboard new contacts and accounts into the CRM as the team's network grows, maintaining data integrity throughout.
  • Travel Booking & Logistics
    • Book travel and accommodation for the sales team ahead of client visits, roadshows and industry events, working within agreed budgets and travel policies.
    • Manage last-minute changes or cancellations efficiently, keeping the team informed and minimising disruption.
  • Ad Hoc Sales Support
    • Provide responsive, flexible support to the senior sales team on ad hoc requests - whether that is formatting a pitch document, researching a prospect, preparing a briefing or simply making sure the team is organised and ready for the day ahead.
    • Step in wherever needed to keep the sales function running smoothly, showing initiative and a willingness to take on whatever the team requires.
    • Supporting the Internal recruitment function, arranging interviews.
Skills & Qualifications
  • A degree or equivalent qualification, or currently completing one; no specific discipline required - we care about capability and attitude.
  • Outstanding written and verbal communication skills - you will be corresponding with some of the most senior professionals in financial services, and the quality of every message matters.
  • Exceptional organisational ability and attention to detail; the kind of person who builds systems, keeps records clean and follows through without being chased.
  • A naturally proactive approach - you anticipate what is needed rather than waiting to be told.
  • Comfortable working at pace and managing multiple competing requests from a busy, senior team.
  • Proficiency in Microsoft Outlook, Word and Excel; any experience with Salesforce or similar CRM is a genuine advantage.
  • A warm, professional and confident manner with people at all levels - from a graduate contact to a Managing Director's PA.
  • Discretion and good judgement; you will be handling sensitive commercial information and communicating on behalf of senior stakeholders.
  • Genuine curiosity about capital markets, financial services or professional services - you do not need to be an expert, but intellectual engagement with the environment you are working in will set you apart.
