Job Title: Payroll Specialist (Part-Time / 2 Year Fixed-Term Contract) Salary: Commensurate with experience plus bonus and benefits Location: London, Charing Cross, SW1 and/or Remote Who We Are Petroineos comprises trading and refining joint ventures between PetroChina International (London) Company Limited and INEOS. Who You Are / Your Next Challenge An exciting opportunity awaits a highly organised and data-focused individual to step into the role of Payroll Specialist at Petroineos Trading Limited. Reporting to the HR Business Partner, this vibrant position involves managing all aspects of payroll, pension, and benefits processes, ensuring that essential business arrangements and cost-effective compensation practices are adhered to for both Petroineos Trading Limited and PetroChina International London Co., Ltd. This will include running the payroll and pension process by delivering payroll instructions to our third-party vendor ADP. You will also need to liaise with third party tax advisors regarding globally mobile employees and their compensation packages as well as being the primary contact for employment duties with HMRC. In addition, you will be the primary contact for our employee benefits broker managing all matters related to the employee benefits package. The role carries a high degree of importance as you will coordinate all compensation programs for the London site and will also participate in wage and salary reviews. Therefore, the successful candidate will possess excellent communication and interpersonal skills, with the ability to interact effectively with a diverse range of stakeholders. Attention to detail, discretion, and the ability to maintain confidentiality are essential qualities for this role. Proficiency in a payroll system, HRIS software and the Microsoft Office suite is required. We are looking for a proactive problem-solver with strong organisational and time management skills, capable of handling multiple tasks in a fast-paced setting. Key Responsibilities Coordinates all payroll activities for PITL and PCIL, encompassing all salaried personnel. This includes running all payroll activities such as, inputting new starters, processing leavers, inputting variable pay items and managing any salary sacrifice schemes. You will also be responsible for calculating payrolls, reconciling, maintaining payroll control records, and ensuring payroll is submitted by the commit date. Preparation of any payroll, pension or benefit related reports including payroll summary reports for the Financial Reporting and Accounting team. Responsible for the administration of our pension scheme. This includes the submission of employee and employer pension contributions monthly, managing any salary or bonus sacrifice schemes, ensuring compliance with the UK pension regulations and auto-enrolment duties, and maintaining the relationship with our third-party advisor. Responds to questions related to payroll issues, including pay, pension and benefits, from employees and resolves discrepancies that arise. This also includes queries from HR, Finance and Management. Manages the administration of all the Company benefit schemes ensuring employees are enrolled and removed from relevant benefits promptly and accurate records are maintained. Completes the annual P11d process reporting the costs of all employee benefits to HMRC via our third-party vendor ADP. Partners with the HR Business Partner on the annual renewal of all employee benefits and looks for ways to enhance our employee benefit offering. Administers any out of cycle payments. This includes such things as: payment for unusual or non-periodical payouts, such as missed payments, , bonuses, incentives, , off-cycle wage increases, etc. Updates the payroll system ensuring accuracy of data and primary contact for employment duties with HMRC and responds to any queries/issues raised, liaising with our internal tax team where necessary. Supports with any salary and/or bonus accruals required for budget purposes as requested by Finance and/or Management. Ensures full tax and NI compliance for any globally mobile employees with support from our third-party tax advisor and provides all relevant documentation to help with any annual tax returns. What we’re looking for / Skills that will help you in the role Ideally a CIPP qualified Payroll Professional or studying towards a CIPP qualification or desire to study towards a CIPP qualification is highly advantageous. Demonstrable work experience managing Payroll and Benefits for a busy team in a corporate environment (Environments such as Financial Services, Banking, Energy Market Trading; Utilities, Producers or Trading houses preferred but not essential). Proven experience with expat, modified and shadow payrolls is advantageous. Previous experience working with third party payroll providers, experience using ADP is beneficial. Proficient with using Excel and Word or equivalent programmes, including the usage of pivot tables, VLOOKUP, using formulas. Ideally have worked in a busy environment with strong reconciliation skills. Very well organised with the ability to show initiative, focus and follow-through. Ability to evaluate data, interpret and make recommendations. Possess good interpersonal and communication skills. Great numerical and analytical skills. Well organised with good attention to detail. Ability to maintain confidentiality and handle sensitive information with discretion. A positive attitude, highly self-motivated and able to prioritise workload is key. Please note : This is a part-time (2-3 days a week), 24 months fixed-term contract position initially with the job based in Charring Cross, London. The role is available to be worked in either a remote or hybrid capacity, which can be discussed in further detail to suit needs. Our core working hours are 9am – 5:30pm, Monday – Friday and the role holder would need to be able to work at least 2-3 of these days.
