The Shipping Operator plays a vital role in the trade lifecycle, managing high volumes of operational tasks and responding to urgent requests as and when required.
Key Responsibilities
- Plans, anticipates, prepares and executes voyage instructions for spot and time chartered tonnage.
- Nominates or appoints ship owners, agencies, coordinates and monitors cargo and shipping operations, maintaining close attention to operational risks that may increase demurrage exposure.
- Complies with the shipping department “Check List” to ensure company policy and procedures are adhered to, coordinating and collaborating closely with all inter‑company departments such as oil operations and treasury, and with third‑party service providers such as ship owners and shipbrokers.
- Understands the limitations and restrictions for marine infrastructure at GM and LV refineries.
- Vets 3rd party vessels for PITL business via an online vetting system and clears vessels for STS against PITL floating storage units.
- Checks freight and other shipping related invoices for accuracy and compliance with the charter party, ensuring invoices are approved in accordance with company procedures and delegations of authority.
- Keeps company system updated with entries of accruals for cost where invoices are expected, in accordance with the charter party.
- Responds out of working hours to urgent shipping requests and monitors an emergency phone on a duty roster.
- Prepares lay‑time statements for accrual purposes.
- Prepares and maintains basic Excel spreadsheets where required.
- Assists in the preparation of weekly management reports.
- Maintains awareness of the business context and company profitability, including budgetary control issues.
- Ensures all shipping deadlines and priority cut‑off times are met.
- Other project‑related tasks as requested by the manager.
Skills, Knowledge and Expertise
- Degree in Shipping, Commerce, or Logistics Management or qualified by experience.
- Understanding of oil fundamentals, products, grades, qualities, geopolitical and environmental influences on commodity markets.
- Previous experience in a similar role.
- Relevant experience with ship owners, charterers or shipbrokers.
- Committed team player with a “can do – will do” attitude.
- Flexible approach.
- Availability out of office hours.
- Ability to multitask and perform excellent communication, supervisory, and customer‑service skills.
- Ability to identify and resolve problems in a timely manner.
- Sense of urgency and ability to prioritize tasks and resources appropriately.

- Proficient with MS Office and operational systems/software.
