JOB TITLE: DEPLOYMENT HUB LOGISTICS COORDINATOR
KEY RESPONSIBILITIES:
- The Logistics Coordinators will support the successful performance of day-to-day cross functional service delivery for their assigned contract.
- Be the focal point for offshore personnel on the specified contract and ensure all client requirements are met.
- Working with the Contract Support Lead, foster strong relationships through effective communication and consistent support with both the offshore workforce and the client (where relevant).
- Proactively address and resolve service challenges for employees and the client, ensuring client satisfaction and adherence to contractual requirements and Petrofac governance.
- Maintain a team approach across the Logistics team and the wider Deployment Hub working together to ensure client priorities are met.
- Prepare detailed reports on cross functional performance.
- Ensure all new starts are onboarded correctly.
- Ensure personnel have completed onboarding requirements including CBTs.
- Carry out mobilisation activities.
- Flight bookings where relevant.
- Manage and book PPE.
- Book Hotels, monitor/report on no shows and carry out daily invoice checks as per process.
- Book Medicals including ERT, FTT and monitor/report on no shows as per process.
- Issue check ins.
- Compliance checks.
- Raise requisitions for recruitment of personnel.
- Ensure all offboarding activities are completed across all systems.
- Carry out timely auditing of expenses.
- Accurately record usage of taxis and credit cards as per process.
- Be the point of contact for offshore personnel.
- Resolve pay queries timely, liaising with other parts of the business.
- Manage and maintain all relevant systems i.e. dashboards, ATS, Petrofac Go etc.
- Maintain, create and provide reports as required to Contract Support Lead and for client monthly reporting.
- Support absence management including RTW activities.
- Attend site calls as required.
- Ensure contract data is accurate and up to date including client data sheets and communication/expense codes on Petrofac Go.
- Support cross Hub activities i.e. HR report, Deployment Hub KPI’s, improvement activities etc.
- Provide functional reports as required.
- Participate in Ops on Call rota.
- Carry out meet and greet for Medevacs.
- Carry out inductions as part of the induction delivery rota.
- Carry out root cause analysis regularly as problems occur.
- Identify appropriate corrective and preventative actions from root cause findings.
- Ability to analyse data on reports.
- Ability to interrogate systems.
ESSENTIAL QUALIFICATIONS AND SKILLS:
- Logistics (personnel) experience in a busy, changing environment.
- Experience of working in a client facing role.
- Demonstrable experience in Microsoft office; Word, Excel, Power Point etc.
- Ability to organise workload to meet deadlines.
- Self-motivated with the ability to work on own initiative and as part of a wider team.
- A proactive attitude and aptitude for taking on tasks.
- Continuous improvement mind set and application.
- Experience within a fast-paced environment.
- Ability to understand, and adopt, new systems quickly.
- Experience of working in a safety and quality focused environment.
