Reports to: Operations Manager (Freight Forwarding)

Job function/Scope: To assist the Operations Manager and Forwarding team in all operational, administrative and commercial aspects of international and domestic requirements. External and on-the-job training will be provided to the suitable candidate.

Roles & Responsibilities

  • Co-ordinate all international and/or domestic air, ocean and road freight imports/exports in accordance with company processes and in compliance with all HMRC regulations.
  • Customs clearance and consultancy.
  • Preparing multi-modal freight quotations.
  • Liaising with overseas clients and agents, completing all required shipping documentation such as airwaybills, bills of lading and CMR notes.
  • GRN and coding of all departmental purchase invoices.
  • Preparation of sales invoices, e-filing and other administrative tasks as required.
  • Provide support during supplier negotiations ensuring we obtain value for money while retaining excellent customer service for the client and Petersons.
  • Assisting with the preparation of month-end financial close out.
  • Follow the principles of the integrated safety management within Petersons and its clients and take personal responsibility for Health & Safety.

Performance Measures

  • Performance against KPIs such as accuracy of bookings, quotes, billing and quote conversion.
  • Control of jobs as per client instructions, ensuring everything is accurately completed on time and on budget.
  • Accuracy of information given to client and job tracking.
  • Comply with all of Peterson's processes, HMRC regulations and Incoterms.
  • Client and inter-departmental feedback.

Qualifications and Experience

  • Minimum Maths & English Standard Grade (or equivalent).
  • Minimum 2 years Freight Forwarding or Airline Handling operational experience.
  • Knowledge of HMRC systems.
  • Competent in Microsoft Office packages.
  • Commercially aware.
