Location: Petersfield Museum and Art Gallery

Salary: £15.00 per hour (plus overtime for additional hours and emergency call-outs)

Hours: 16 hours per week (Tuesday to Friday 08:30-12:30). Weekend working: 1 Saturday per month (with TOIL).

We are looking for a practical, organised and reliable individual who enjoys working in a hands-on role and takes pride in keeping buildings safe, welcoming and running smoothly. You will have a good working knowledge of facilities, basic maintenance and health and safety procedures, along with the confidence to liaise with contractors, staff, volunteers and external hirers in a friendly and professional manner. You will be comfortable working independently, able to prioritise tasks, and responsive when issues arise, while also being a positive team player who contributes to the wider operation of Petersfield Museum and Art Gallery. You will be able to attend the site within 30 minutes in the event of an alarm call-out.

Job Purpose

To support the smooth, safe and efficient day-to-day operation of Petersfield Museum and Art Gallery's buildings and site. The Operations and Facilities Officer will play a key role in keeping our spaces welcoming, well maintained and compliant, acting as a central point of contact for building maintenance, health and safety documentation, and the practical coordination of private hires and events. The role helps ensure the Museum and Art Gallery continues to operate as a thriving centre for heritage and culture.

Key Responsibilities

  • Facilities & Site Operations
  • To carry out morning opening procedures, ensuring the building is ready for staff and visitors.
  • To undertake basic internal maintenance tasks and arrange regular servicing of plant, equipment and systems.
  • To work with the Chair of Trustees to oversee external contractors on site and ensure Museum protocols are followed.
  • To help monitor the condition of the building and report issues or risks promptly.
  • To act as a Primary Keyholder and first point of contact for out-of-hours emergency calls and alarm activations (overtime paid for call-outs).
  • Health, Safety & Risk Management
  • To create, review and update risk assessments for operational activities and ensure they are accessible and followed by staff and volunteers.
  • To ensure routine compliance checks (including fire safety) are carried out and accurately recorded.
  • To support the briefing of staff and volunteers on relevant operational procedures and safety protocols.
  • Private Hire & Revenue Support
  • To lead on the administration of private hires, from initial enquiry through to booking, delivery and event close-down.
  • To prepare and set up spaces for hires and internal events, including moving furniture and basic AV setup.
  • To act as the on-site contact for hirers, helping events run smoothly and professionally.
  • To ensure spaces are returned to their original condition following events.
  • General Operational Duties
  • To act as Duty Manager for the site as required, overseeing visitor safety and building security.
  • To work closely with the Museum and Art Gallery's team of volunteers, particularly those supporting events and site maintenance.
  • To provide regular updates on building matters and hire activity to the Chair of Trustees.
  • To undertake relevant training and any other reasonable duties in line with the role.

  • Experience of working in a facilities, caretaking, estates, operations or site support role (or demonstrable transferable experience).
  • Practical skills and confidence in carrying out basic building maintenance and minor repairs.
  • Good understanding of health and safety in the workplace, including risk assessments and compliance checks.
  • Experience of working with external contractors or service providers.
  • Ability to organise and manage own workload, prioritising tasks effectively.
  • Strong communication skills and a friendly, professional manner.
  • Willingness to act as a keyholder and respond to out-of-hours call-outs when required.
  • Ability to undertake physical tasks, including moving furniture and setting up spaces.
  • Basic IT skills (e.g. email, documents, simple record keeping).

  • Full, Clean UK Driving Licence (essential for role).
  • As the post-holder will be a principal key-holder they must be able to attend the site within 30 minutes.

  • Experience working in a museum, heritage site, visitor attraction or similar public facing environment.
  • Health and safety qualification (e.g. IOSH or equivalent) or willingness to work towards one.
  • Experience supporting events or venue hire operations.
  • Knowledge of fire safety and/or building compliance monitoring.
  • Experience of working with volunteers.
  • First Aid qualification or willingness to train.
